Position Title: Assistant Director of Project Administration

Position Overview: The Assistant Director of Project Administration is responsible for strategically overseeing and enhancing the project administration functions across multiple facilities. This senior leadership role is dedicated to achieving superior customer satisfaction through the meticulous execution of project administration within the contract framework. The Assistant Director will lead a diverse team, manage complex processes, and ensure the successful delivery of projects from inception to completion with a focus on continuous improvement and excellence.

Key Responsibilities:

Strategic Leadership:

  • Provide visionary leadership to the project administration teams across various locations.
  • Cultivate a high-performance culture that aligns with the organization’s strategic goals and fosters a collaborative and innovative work environment.
  • Lead the development and implementation of long-term strategies for project administration to drive continuous improvement and operational excellence.

Customer Satisfaction and Relationship Management:

  • Ensure exceptional project administration that meets or exceeds customer expectations and adheres to contract terms.
  • Establish and maintain robust customer relationships, acting as a key point of contact for escalations and ensuring consistent, high-quality service delivery.
  • Champion initiatives to improve customer satisfaction metrics and foster a customer-centric approach within the team.

Project Administration Oversight:

  • Direct and supervise all phases of project administration, from order entry and contract management to project completion.
  • Coordinate with cross-functional teams to ensure timely, accurate, and high-quality project execution.
  • Oversee the approval of project drawings and technical documentation, ensuring compliance with contractual requirements.

Process Management and Optimization:

  • Streamline the transition process from sales to project administration, ensuring seamless integration and continuity.
  • Develop, refine, and implement standard operating procedures to enhance efficiency and accuracy in order conversion and project management.
  • Lead initiatives to identify and eliminate process bottlenecks, driving continuous process improvement and operational efficiency.

Performance Management and Accountability:

  • Monitor and manage the daily performance of the project administration team, ensuring adherence to high standards of service delivery.
  • Implement performance metrics and conduct regular reviews to assess team effectiveness, address issues, and promote professional development.
  • Ensure prompt resolution of project execution challenges and maintain accountability for meeting project timelines and quality benchmarks.

Cross-Functional Collaboration:

  • Facilitate effective communication and collaboration between project administration, plant operations, and engineering teams.
  • Act as a liaison between project leaders, plant managers, and technical staff to support coordinated efforts and successful project outcomes.
  • Promote a culture of teamwork and information sharing to drive collective success.

Contract Compliance and Risk Management:

  • Ensure all projects are executed in strict adherence to contract terms, regulatory requirements, and company policies.
  • Manage risk by identifying potential issues early and developing mitigation strategies to protect project integrity and customer interests.
  • Conduct regular reviews of contract deliverables and compliance status to ensure alignment with business objectives.

  • Advanced proficiency in reporting, planning, and Microsoft Office applications.
  • Ability to lead and influence cross-functional teams and drive organizational change.

Qualifications:

  • Extensive experience in project management, administration, or a related field, with a track record of leadership in a senior role.
  • Proven ability to manage and optimize complex processes and workflows.
  • Strong background in developing and implementing standard operating procedures.
  • Demonstrated capability to manage multiple high-priority projects in a fast-paced environment.
  • Experience in a manufacturing, engineering, or similar technical setting is highly desirable.
  • Bachelor’s degree in Business Administration, Project Management, or a related field; advanced degree preferred.
