Job Summary:

The Office of the Deputy Vice Chancellor for Diversity & Inclusion and Vice Provost and Chief Diversity Officer (DVCDI/VPCDO) is seeking two Executive Assistants (EAs) to join the senior leadership support team. Both EAs will provide executive level 1:1 support; one supporting the Assistant Vice Provost of High-Impact Learning Practices (AVP of HIPs) and one supporting the DDEEA Chief of Staff and Senior Operations Officer (CoS/SOO).

About the AVP of HIPs: The AVP leads the development, cultivation and implementation of the division’s framework for enhancing student experiences through high-impact educational practice programs and initiatives, including common intellectual experiences, undergraduate research, global learning, service and community-based learning, internships, and student employment. She leads the division in implementing evidence-based pedagogies and culturally relevant practices that center equity-mindedness. The AVP oversees the division’s Academic Coaching to Thrive and Succeed, Center for Educational Opportunity, Ronald E. McNair Postbaccalaureate Achievement Program, Education and Wellbeing, and experiential learning programs that include Global Scholars, Internship, and STEM Initiatives.

About the CoS/SOO: The CoS/SOO oversees the communications portfolio, divisional operations, and leads special projects that the DDEEA undertakes in partnership with campus and community constituents. The CoS/SOO also supports the deputy vice chancellor for diversity and inclusion in their role to lead the campus toward ensuring equitable and inclusive working and learning environments for students, faculty and staff at UW-Madison, while ensuring that our student scholarship and high impact programs continue to support the holistic development of our students.

These critical EA positions will report directly to their respective senior leaders and will be responsible for effectively managing calendars, meeting requests, travel logistics, and preparatory materials. Both roles will manage correspondence and communications from a wide range of stakeholders. Each EA is also responsible for administrative, project, and research support for a variety of initiatives in their respective portfolios. Ideal candidates will be proactive, solutions-orientated, thrive in a fast-paced environment, are adaptable, and respond well to changing needs and shifting priorities.

Qualifications:

Required:
  • Minimum 2 years of related experience (i.e. administrative, or executive assistant)
  • At least 5 years of experience working in higher education, or similar large complex organization.
  • Strong written communication and editing skills.
  • Advanced technical / computer skills (e.g., MS Word, Excel, PowerPoint, SharePoint)
  • Ability to manage and prioritize multiple and high-level competing priorities in a dynamic environment.
  • Ability to build collaborative relationships and functional working teams with people from diverse backgrounds.
  • Demonstrated analytical and problem-solving skills; ability to apply sound judgment and make effective decisions
  • Demonstrated ability to exercise discretion
  • Experience maintaining and protecting confidential information

Preferred:

  • Previous UW experience
  • Prior experience supporting a high-level executive

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.

Salary:

Minimum $57,000 ANNUAL (12 months)
Depending on Qualifications
The starting salary for a candidate who needs to learn the responsibilities of the position and is not yet performing the full scope of the position is $57,000. The starting salary for an experienced candidate who can fulfill most job responsibilities independently is $65,000. Actual pay is determined at hire and is based on experience and qualifications.
