DESCRIPTION

GPS instructs a diverse student body of domestic and international students in the MPP, MCEPA, MIA, and MAS-IA degree programs, a joint Ph.D. with the Department of Political Science and executive education programs. GPS also administers the International Studies Program, offering a rigorous curriculum for students interested in international affairs with nine B.A. degree options, three combined BA/MIA and BA/MPP programs, and a minor program. GPS is also the parent organization to major research centers: 21st Century China Center, 21st Century India Center, Big Pixel Initiative, Center for Commerce and Diplomacy, Cowhey Center on Global Transformation, Center for U.S.-Mexican Studies, Fudan-UC Center on Contemporary China, Japan Forum for Innovation and Technology, Korea-Pacific Program, Policy Design and Evaluation Lab, SDG Policy Initiative, Wavemaker Lab, and the campus-wide Deep Decarbonization Initiative and the UC Institute on Global Conflict and Cooperation.
Under supervision by the Academic Personnel Manager, the GPS Academic Personnel Coordinator provides support for all personnel actions for assigned academic appointees at GPS.

The incumbent learns to apply professional UC Academic HR concepts, organization and/or system-wide policies, and procedures in the completion of UC Academic HR assignments that are of limited scope and impact. Incumbent receives instructions on most work assignments, and regularly consults with more senior AP HR Analysts and/or manager in the course of completing assignments. Exercises some judgment within defined procedures and policies to determine appropriate action.

The incumbent assists in all matters related to appointment/reappointment files for postdocs, visiting scholars, and other temporary academic positions; provides support in completing employment paperwork and UCPath entries. Under guidance, ensures compliance with all Academic Personnel policies and procedures, and all Union contract requirements and restrictions. Assists in preparation of all visa documentation and compliance with INS regulations and restrictions. Assist department AP staff with faculty review file preparation. Assists with processing and tracking academic leaves of absences including sabbaticals, research, and leaves with or without pay. Other duties within scope of description.

QUALIFICATIONS

  • Strong administrative support and data entry background.

  • Knowledge of organization, college, and departmental formal and informal policies and procedures, and understanding of variances to stated policies.

  • Experience using computer software, hardware and database systems: MS Office suite, Word, Excel, Access, PowerPoint, Outlook calendar.

  • Knowledge of organization’s human resource management system (HRMS) and other related business software programs and systems.

  • Acquiring knowledge of and ability to apply / interpret organization and college policies and procedures which govern academic HR.

  • Acquiring knowledge of unit academic culture and educational goals of discipline(s) served.

  • Skills to communicate effectively, both verbally and in writing.

  • Proven organizational ability to multi-task in a fast-paced environment with frequent interruptions and changing priorities and to assure deadlines are met. Proven organizational skills to prioritize or plan day-to-day tasks to meet established goals within that context to recognize problems, conflicts or impact to others, research options, present alternatives, implement solutions and follow-through to assure goals are met.

  • Analytical skills to conduct analysis and develop recommendations, demonstrating organizational and problem-solving skills.

  • Excellent interpersonal and customer service skills to interact professionally and courteously with diverse personalities, including non-native English speakers, within and outside of the University, using tact and diplomacy.

PREFERRED:

  • HR knowledge and experience preferred.

Pay Transparency Act

Annual Full Pay Range: $53,800 – $91,000 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $25.77 – $43.58

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
