Job Summary:

The Project Manager performs administrative duties for the Shipping and Receiving Department and the Logistics Manager, including high-level administrative tasks, customer service tasks, and maintaining the general needs of the department.

Primary Duties and Responsibilities:

  • Facilitates product shipping and distribution, works with management and team members on logistics systems and on implementing new strategies and initiatives, and assists in directing daily operations.
  • Ensures freight is processed efficiently to maximize product service levels.
  • Processes orders, prepares packing lists, packages outgoing materials, takes care of shipping logistics, and ensures the accuracy and timeliness of incoming and outgoing orders.
  • Tracks shipment details, locations, and estimated time of arrivals.
  • Plans and implements shipping activities in a timely and cost-efficient manner.
  • Analyzes shipping processes and readies adjustments to improve efficiency.
  • Develops forecasts for shipping needs and confirms that the necessary inventory is available
  • Work to identify areas of cost improvements.
  • Work collaboratively with all cross functional departments to quickly resolve customer concerns.
  • Provide timely communications to inform internal management on status, changing conditions and activities that might affect business results.
  • Arrange freight as well as loading/offloading requirements for vessels and related equipment
  • Provide pre-sales support in the form of (3) vendor quotes for freight per job
  • Provide and maintain accurate job files and transfer necessary info into electronic file system
  • Release & receive vendor POs. ERP System knowledge is preferred.
  • Work closely with in house Project Managers as well as clients regarding logistical requirements and support
  • Coordinate with Finance Department regarding payment confirmations and freight release
  • Make sure production schedule and loading schedule are in sync
  • Be on call for afterhours deliveries
  • Maintain vendor score card
  • Improve customer service, post-sale follow up for every order and document in system.
