Position Title: Operations Coordinator
Department: Governors Office of Operations and Cabinet Affairs
Starting Salary: $60,000-$70,000 annually
Please note: This is a term limited position and is funded through December 2026
Organizational Relationships: The Operations Coordinator reports to the Director of Operations & Cabinet Affairs. This position supports the Office of Operations and Cabinet Affairs and the Scheduling and Advance Teams within the Governors Office. This position may occasionally be asked to support other Executive Assistants within the Governors Office, as needed.
Expected Annual Travel: Occasional in-state travel.
Summary of Functions: The Operations Coordinator supports the Governors Office of Operations & Cabinet Affairs to ensure seamless coordination of team deliverables and administrative functions. This position assists with coordinating team-wide workflows and project management, including implementing and maintaining team processes and timelines. The Operations Coordinator also serves as a liaison between Executive branch agencies and the Operations team and plays a critical role in maintaining timely and ongoing communication between the Governors Office and state agencies.
This position serves as the administrative lead for the Governors Office of Operations & Cabinet Affairs and plays an active role in day-to-day meetings and operations. This includes managing the Directors schedule, coordinating meetings and events, gathering briefing materials, and providing quality control for information and task gathering. This role will attend meetings alongside members of the Operations Team and Executive Leadership to capture notes, track action items, and ensure completion of next steps.
Additionally, this role will lead special projects, as assigned, and be provided opportunities to apply their skills in support of team objectives. The ideal candidate should be detail-oriented, highly organized, proactive, collaborative, and an innovative thinker. Candidates should also be able to demonstrate strong critical thinking, pattern recognition, and analytical skills, and the ability to adapt quickly and operate nimbly in a fast-paced work environment.
Duties and Responsibilities:
Internal Operations

Serves as a liaison between the Governors Office, state agencies and external parties. This includes fielding inquiries and facilitating ongoing communication across multiple organizations, triaging information as needed.

Supports Operations team leadership with workstream tracking to ensure shared awareness of key deliverables and timelines, and help manage staff workloads. Develops and maintains systems of effective project and process management. Deliverables may include the creation of process documents, project plans, and action item trackers.

Coordinates across the Governors Office and state agency teams to align on upcoming deliverables, priorities, and scheduling. Provides regular updates to state employees with pertinent information and necessary action items.

Creates and ensures timely delivery of relevant briefing materials for the Governor, the Director of Operations and Cabinet Affairs, and other members of Governors Office leadership.

Coordinates and attends all Operations team meetings, as well as specific meetings alongside members of the Operations Team and Executive Leadership, to distribute agendas, capture notes and action items, and help ensure completion of next steps.

Helps coordinate statewide training courses sponsored by the Governor’s office, and supports professional development functions for both Operations team members and agency staff.

Maintains the Operations team website, inclusive of agency performance plans and performance reports. Ensures all public-facing information is current, accurate, and meets Colorados accessibility requirements.

Provides day-to-day technical support for hybrid and virtual meetings (e.g. Zoom, Webex, and Google Meets), ensuring smooth setup, troubleshooting issues, and managing technical logistics. This entails coordination with the Governors Office IT Manager to elevate critical IT requests.

Supports the Operations Data Analyst and Operations Advisors with data collection and quality control, as needed. Helps ensure agency data is submitted and approved on time, providing technical assistance when appropriate.
Administrative

Coordinates all aspects of the Director of Operations schedule and provides ongoing management of the calendar, with regular check-ins. Provides scheduling assistance for other members of the Operations team as needed.

Serves as team lead for all event planning, logistics, and coordination. Events include staff retreats, roundtable discussions, site visits, team appreciation, and other special events.

Processes internal and external meeting and speaking engagement requests.

Supports hiring, onboarding, and offboarding processes for the Operations team, including reviewing applications, scheduling interviews, and coordinating with human resources.

Assists Operations team leadership with approving timecards and tracking time off requests.
-
Manages all administrative requests and purchasing needs, including office supply orders and all related expense claims and reporting.

Facilitates approval processes and triages approval requests across the organization.

Oversees document management for the Operations team.

Maintains and regularly updates relevant organization charts, listservs and contact sheets.
Project Support

Assists with specific research and analysis assignments as directed by supervisor and leadership team.

Leads and coordinates special projects as directed by supervisor and leadership team.

Contributes to strategy and planning work, meetings, and other activities such as process improvement and professional development.

Essential Skills:
This position requires a self-starter with strong problem-solving, critical thinking, and pattern recognition skills who can operate independently and nimbly in a dynamic and fast-paced environment. Candidates should also demonstrate personal integrity, confidence, and diplomacy.

High level of professionalism in all written, and oral communications. A strong understanding of executive-level communication is preferred.

Exceptional time management, organizational skills, and attention to detail.

Proficiency in Google Apps and Microsoft Suite is essential. Experience with Salesforce is preferred, but not required.

Strong relationship-building skills and ability to collaborate effectively.

Excellent project management and coordination skills, including the ability to create and maintain project and action item trackers.

Basic data management and analysis skills are preferred, but not required.

Ability to work with high levels of confidentiality and discretion.
Minimum Education/Experience: At least five (5) years of relevant experience. This may be exclusively work experience OR a combination of higher education, training, and work experience.

A degree in political science, public policy, business administration, organizational effectiveness, or another related field.

Previous experience in government or business administration, project management, process improvement, data analytics, customer service, or another related field.
