Roofing Production Administrator

Job Description Scudder Roofing in Marina, CA, seeks a dynamic, bilingual (English/Spanish) Roofing Production Administrator to join our thriving team. Your expert touch will be felt across all aspects of our operations, from budgeting and scheduling to active communication with our crew and customers. The Production Administrator will support all company production operational functions with expert administrative support for the entire production team, including warranties, permitting, customer correspondence, and creating project proposals, among other things.

This position will also play a crucial role in the planning, coordination, and quality control of our Scudder Roofing projects—from assisting with reporting, budgeting, scheduling, and Scoop reporting to working with the Production Manager and team to ensure maximum resource efficiency. Additional responsibilities will include overseeing our repair department and assisting with purchasing, staging, and delivering project materials.

Essential Job Duties:

• Will work closely on all projects and assignments with the Production Manager.
• Responsible for assisting with project coordination, staging, materials delivery, project folders, and more.
• Will oversee the Scudder repair department, including gathering information and assisting the Production Manager with dispatching, proposal development, and preparing service tickets for billing.
• Responsible for county and city building department correspondence/work to obtain all necessary permits, including emails and in-person retrieval.
• Responsible for weekly review and approval of field personnel time (payroll) to ensure accuracy of reported time through mobile device time tracking applications such as QuickBooks Time, Work Yard, Mix GPS, etc.
• Will produce & submit C&D reports for all Monterey County projects to obtain final inspections.
• Will assist with roofing technician and project manager onboarding, including phone and iPad setup, Scoop CRM training, email setup, etc.
• Ensure great customer communication.
• Order and schedule delivery/pickup of portable toilets for all Scudder projects.
• Responsible for COI submittals, the Malarkey Rebate Program, and file and dump tags, etc.
• Will schedule city and county inspections as required and tear-off/in-progress inspections.
• Responsible for quantifying and creating change orders, including entering in Sage 100 and sending to clients as needed. Will also manage weekly CCN change order entries.
• Responsible for permit submittals and requirements, such as sending appropriate certificates of Insurance and smoke and carbon monoxide affidavits to all customers. This also includes maintaining this documentation and project information in Scoop, engineering reports, encroachment permits, and other apps (Carmel).
• Will prepare and mail our final warranty boxes to all customers.
• Responsible for participating and updating Scoop project management as necessary.

Requirements and Qualifications:

• 1+ years of related experience and/or training, or equivalent combination of education and experience.
• Bilingual (English/Spanish)
• High School Diploma
• Commitment to continued education and training courses and classes.
• Valid California Driver’s License.
• Must be organized, have strong attention to detail, and be able to multi-task and prioritize.
• Ability to take authority over projects, take the initiative, and accept responsibility.
• Ability to work in a team environment.
• Diplomacy, discretion, versatility, and reliability.
• Experience with DocuSign and/or AdobeSign, File Explorer, and Adobe Acrobat.
