Responsibilities:

Job Purpose

The Executive Assistant role will Perform a variety of executive administrative duties for the CFO, serve as the primary gatekeeper for all calendar coordination, and as the liaison between CFO, the CFO organization (finance, accounting, tax) and the PMO organization for all critical deliverables. This hire will coordinate seamlessly with other Executive Assistants and leaders. The Executive Assistant interacts with employees within all levels of the organization and performs regular administrative and clerical tasks. This positions hours are 8:30 5:30pm or 9:00 a.m. to 6:00 p.m.

Key Accountabilities:
  • Organizing, preparing, and coordinating materials and logistics for key meetings, including agendas, presentations and other items/deliverables from others. Coordinating the follow up and deliverables. Sending various communications to key stakeholders.
  • Manage schedule/travel and all related logistics, including coordinating travel logistics for visiting stakeholders; coordinate all meeting-related materials; prepare/file expense reports
  • Proactively manage CFO schedule, serve as primary gatekeeper for all coordination. Ensure all internal and external schedules, commitments and deliverables managed, including external and other board, committee or industry/organizational commitments and activities.
  • Serve as liaison between CFO, the CFO organization (finance, accounting, tax) and PMO organization for critical executive projects/deliverables. Coordinate, help execute and maintain a broader organizational calendar of key deliverables/events, in conjunction with PMO and key leaders
  • Coordinate, schedule and confirm travel arrangements (flights, hotels, transportation), ensure travelers supported have the necessary travel documents and create travel itineraries as necessary.
  • Proactively schedule and maintain routine of internal meetings with direct reports, and other key stakeholders, including agendas and other deliverables
  • Coordination of internal events, corporate functions, lunches, and dinners.
  • Communicate and work with senior management via phone and email when traveling.
  • Provide back-up to other Executive and Administrative Assistants as necessary.
  • Other special projects as assigned.

Qualifications:

Experience/Qualifications/Education Requireds

Educational Requirements
  • College degree and relevant (5+ years)’ experience supporting a C level executive, preferable in the financial sector.
Required Skills, Abilities and Knowledge:
  • Strong interpersonal communication skills. Ideal candidate is confident, sophisticated, well spoken and assertive
  • Must be able to handle highly confidential information discreetly.
  • Detail oriented and highly organized to produce a quality work product in a timely manner.
  • Ability to work well cross functionally
  • Effective scheduling/meeting coordination skills. Must be able to multi-task and juggle multiple assignments with competing deadlines concurrently.
  • Ability to quickly note and outline project requirements and carry out tasks related to the completion of a project.
  • Flexibility in work responsibilities and hours. Must be able to change priorities constantly.
  • Self-motivated; takes initiative and anticipates issues.
  • Ability to handle the stress of functioning in a fast-paced organization, meeting deadlines, anticipating quickly changing needs and exercising judgement regarding a wide range of responsibilities including conflicting priorities/work overflow.
  • Excellent proofreading skills.
  • Ability to anticipate needs and prepare a course of action based on the needs of the Controller and other senior managers based on their prior behavior and stated expectations.
  • Excellent memory and tracking skills.
  • Exercise good judgement on day-to-day decisions.
  • Intermediate to advance knowledge and experience with Microsoft Word, PowerPoint, Excel and Outlook, Adobe Acrobat. Familiarity with expense (such as Concur), travel and purchase order or requisition systems is desirable.
  • Must be computer savvy and be familiar with how to do research using the Internet
