Job Description

Reporting to the Health & Safety Manager, this position performs a wide variety of complex and advanced administrative functions to ensure assigned department operations flow smoothly, including event support, document preparation, submittals and record keeping. Duties include performing a wide variety of administrative functions to ensure timely and quality completion of required tasks and projects. The individual in the position may provide assistance for other departments or work groups, as needed. As part of your specific responsibilities, in the following areas, you will:

  • Have responsibility for Safety Department administrative tasks and office support: managing safety records, coordinating Safety Orientation, supporting the Joint Health & Safety Committee, helping facilitate Emergency Response Brigade, and providing supporting the Contractor Safety Council
  • Support Environmental Department administrative tasks and office support including: manage Environmental records, facilitate other administrative tasks for Environmental
  • Coordinate Refinery Administrative Team initiatives including: support Admin Team in refinery-wide events, support development of departmental Administrative Assistants, facilitate other administrative tasks as needed
  • Act with integrity and compliance and support Financial Stewardship in each of the above roles
  • Perform Timekeeper Role for HSSE employee timesheets (backup)
  • Provide administrative support of compliance systems, generates certain periodical compliance reports and maintains recordkeeping documentation
  • Schedule and assist with compliance of medical exams (outside of Ops and Maint depts) and log
  • Perform duties include word processing, creating spreadsheets and presentations; scheduling, coordinating, and handling arrangements associated with meetings, training sessions, business travel and other events
  • Understand and take direction of Supervisors
  • Work with others
  • Communicate with team members and with Supervisor
  • Peform other duties as assigned

The Requirements

To meet the basic qualification for this role, you will have legal authorization to work permanently in the United States for any employer without requiring a visa transfer or visa sponsorship. To be a good fit for the Administrative Assistant opportunity, you will have:

  • Minimum 3 years of administrative experience in a similar or office environment
  • Proficiency on Word, Excel, PowerPoint, and Outlook
  • Excellent verbal and written communication and presentation skills
  • Excellent customer service skills, and professional attitude and demeanor
  • Excellent analytical skills with attention to detail
  • Ability to work as part of a team and independently
  • Strong motivation to drive results
  • Ability to establish and manage multiple priorities in a dynamic environment
  • Ability to maintain confidentiality
  • Must have valid drivers license and use of personal vehicle may be necessary

Hiring Range:

The hiring range for this position is $45,185-$70,061 plus non-discretionary bonus. The candidate selected for this position will be placed according to his/her skills and qualifications.
