Job Description
MEGI Engineering Inc. is a full-service engineering design and consulting firm located in Portland, OR serving the pulp and paper, industrial, power and utility, renewables, and chemical markets. The successful candidate will become an integral part of our success by providing professional administrative support for engineering, procurement, and construction projects and to managers and employees to ensure efficient operations of the office.
Primary Responsibilities
- Establish and maintain healthy and positive relationships with employees, clients, vendors, and contractors.
- Communicate and coordinate effectively with internal team members and external clients.
- Organize project data and oversee project document control for accurate and timely retrieval, distribution, and storage of engineering drawings and documents, and vendor and client information.
- Review and issue project meeting minutes, action items list, drawing packages, RFIs, submittals, scopes of work, estimates, and field instructions.
- Update databases, create transmittals, process vendor data, filing in SharePoint including pertinent metadata, and creating BlueBeam sessions.
- Be a key player in supporting multiple projects and office operations simultaneously.
- Provide office management support by managing office supplies, submitting work orders for office maintenance and equipment repairs, front desk support, greeting and escort visitors, collate and distribute mail, and maintain electronic filing systems.
- Quality control, writing and editing memos, emails, invoices, reports, and other correspondence.
- Schedule appointments and coordinate meetings and travel.
Qualifications / Qualities
- Demonstrated proficiency in Microsoft 365 Suite including Teams, Outlook, SharePoint, and OneDrive.
- Proficiency preferred in Bluebeam, AutoDesk Build, and Deltek Ajera with ability to quickly learn new software and applications.
- Strong organizational, problem solving, and research skills with acute attention to detail.
- Effective verbal and written communication skills and ability to handle confidential information.
- Thrive in a dynamic environment able to meet set deadlines and adapt to changing priorities.
- Prefer 2+ years of related experience, BA or BS preferred.
- Collaborative, team-oriented attitude, strong work ethic, creative problem-solving skills.
- Must pass drug test, background check, have a valid US drivers license and have a satisfactory driving record in accordance with the Company’s driving (MVR) policy.
Typical duties will be performed in an office environment with occasional field trips to operating facilities or construction sites. This requires ability to sit for extended periods of time, computer data entry, normal hearing, the ability to stand, walk, reach, climb and balance, clear close and distance vision, depth perception and the ability to focus. Lifting 25 pounds may be required.
