Job Summary:

The Chazen Museum of Art is located in the heart of the UW-Madison campus. We collect, preserve, interpret, and exhibit works of art and present related educational programs in support of the University’s teaching, research, and public service mission.

Reporting to the Chief Operating Officer, this position provides office management and administrative support for the Chazen Museum of Art. This position plays an important role in helping the museum run efficiently. The ideal candidate is able to navigate policies and procedures, creatively problem solve, and collaborate to design and improve administrative processes. This position includes diverse responsibilities, with a focus on office management and student employee engagement. Examples of responsibilities are maintaining office equipment and supplies, updating key document such as org. charts and call lists, coordinating onboarding tasks such as the assignment of work stations. In addition, this position is the main liaison with student employees, planning student engagement events, supporting supervisors in student hiring, and providing administrative support for a student internship program. This position will provide occasional back-up support for facilities management.

Responsibilities:

Responsible for a variety of professional level work across a variety of administrative service areas including budget, finance, procurement, and human resources with impact across the institution in support of unit or institutional goals.

  • 30% Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
  • 20% Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
  • 10% Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
  • 15% Assists, recommends, and advises staff on unit or program administrative issues, personnel matters, and budgetary problems
  • 5% Serves on committees and attends meetings, representing the interests of the unit or program
  • 20% Coordinates student hiring, onboarding, and engagement

Education:

Preferred
Bachelor’s Degree
Equivalent experience may be considered in lieu of a degree.

Qualifications:

  • 5+ years of experience in a complex administrative environment is required.
  • 2+ years in a mid-level position with evidence of independent work, problem solving, and process improvement is required.
  • Experience working in a higher education setting and/or with students is helpful, but not required.

Full Time: 100%

This position will primarily work onsite, with up to 2 days per week remote work negotiable.

Minimum $50,000 ANNUAL (12 months)
