A day in the life
In this role, you’ll support a team managing processes and procedures on each development project to co-ensure that each project follows the company standards. The ideal candidate thrives in a fast-paced, customer-centric environment, where they’ll balance multiple priorities and respond to internal and external customer needs.
Key Responsibilities Include
- Draft and edit all relevant project or development information, process for party signatures, and enter all contracts, addendums and change orders for shell development, tenant improvements and major capital construction projects into PeopleSoft.
- Review and enter invoices into PeopleSoft.
- Review and maintain contractor insurance files and solicit updates as required before payment.
- Cost control – Ensure costs are coded correctly and are in line with the said Contract – including communicating with contractor and consultants to understand appropriate costing and coordinating with the Development Managers.
- Prepare reports, monthly accruals and budget to actual based on contracted costs.
- Maintain the project filing directory on Box, ensuring that contracts, invoices, drawings, and all other required documents are being uploaded and maintained.
- Primary point of contact for projects on development and accounting processes and procedures. Educate contractors on Prologis process requirements and provide training to development administrative assistants as needed.
- Prepare monthly expense reports and assist with travel arrangements and other administrative support requests for the team.
Building blocks for success
- 1+ years of related industry experience
- Prior industry experience as a project administrator, development assistant, project engineer, property manager, contract administrator, office administrator, or equivalent role.
- Proficient knowledge of the Microsoft Office Suite (e.g., Excel, Word, PowerPoint, Outlook).
Preferred
- High School Diploma or related experience in Construction or related field and/or training.
- Knowledge of Kahua and Bluebeam is helpful.
- Ability to carry out specific oral and written instructions from several different development managers and construction managers.
- Meticulous attention to detail and accuracy.
- Execute responsibilities with a sense of urgency and follow-through.
- Customer service mind-set and a team player mentality.
- Positive, proactive work ethic and approach.
- Proven ability to communicate effectively (oral and written) with customers, peers, management, contractors and vendors.
- Demonstrated abilities to prioritize and manage multiple assignments in a fast-paced environment to meet deadlines with efficiency and accuracy.
- Show tact, discretion, confidentiality and good judgment in handling sensitive and confidential matters and documentation.
Hiring Salary Range of: $70,000 – $96,000. Salary and whole compensation package (bonus target) to be determined by the candidate’s location, education, experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data.
