Overview:
Global AgInvesting (GAI) is looking for a highly organized and proactive Event Support Specialist to join our team. In this client-facing role, you will be responsible for managing sponsorship fulfillment, ensuring timely delivery of client deliverables, and providing exceptional service to sponsors throughout the event lifecycle. The ideal candidate will have strong time management skills, excellent organizational abilities, and the capacity to handle multiple projects simultaneously. You must be able to travel to events in London, New York, and Tokyo as needed.
Key Tasks and Responsibilities:
- Serve as the main point of contact for clients, overseeing the production and coordination of sponsorship elements from sale through the event.
- Manage all client deliverables, creating and maintaining timelines to ensure deadlines are met.
- Work closely with the investor and sponsorship sales team to define and coordinate speaking sessions and general conference planning.
- Collaborate with internal teams, including operations and sales, to ensure seamless event execution.
- Update and manage opportunities in Salesforce, ensuring all contracts are properly tracked and fulfilled.
- Understand and work with registration systems to ensure all sponsor passes are registered, and invitations are distributed to clients in a timely manner.
- Assist in organizing the event program, managing speakers, and providing logistical support.
- Keep internal reports and process documents up to date.
- Liaise with clients to manage expectations and provide solutions to any challenges that arise during the event process.

Physical demands of the job include:
- Performing work in an indoor office environment
- Operating standard office equipment such as computers, printers, keyboards, monitors, phones, and other telecommunications or internet-enabled communications devices
- Possessing short-distance visual acuity to perform an activity such as: entering, preparing, and/or analyzing data and figures, transcribing, viewing a computer terminal, and/or extensive reading.
- Lifting and carrying small to medium sized (0-40 lbs) parcels, packages and other items or traversing short distances. Traversing longer distances and/or standing for extended periods of time will be required during conferences and in-person events.
Position Type and Expected Work Hours
This is a regular, full-time role. Most work is typically conducted Monday Friday, during HighQuest’s core business hours, between 9:00 AM and 5:30 PM. Travel to events is required.

The annual compensation for this role is $45,000.00 $50,000.00.
