The proposal coordinator should have strong writing skills, excellent attention to detail, and the ability to generate creative ideas while working both independently and collaboratively.

As our proposal coordinator, youll source procurement opportunities and lead the preparation and submission of winning proposals. Youll work with cross-functional proposal team members to respond to requests for proposals (RFPs), quotations (RFQs), and information (RFIs). Youll manage the proposal development process to ensure on-time delivery of compelling, compliant, and well-written proposals.
The position involves researching, writing, and producing a high volume of client-facing documentation on behalf of our company in support of an array of service and product offerings. Youll successfully communicate and collaborate with a variety of internal stakeholders, including company leadership, program and project managers, consultants, salespeople, technical leads, and subject matter experts as needed. This is a highly visible role.
What youll do
- Be the central point of contact on your assigned proposals and support other Bids and Proposal team members as needed.
- Analyze RFQs, RFPs, and RFIs to create proposal outlines and development plans.
- Direct proposal kickoff, review, and debrief meetings, and prepare detailed proposal plans, schedules, outlines, and compliance matrices for all phases of proposal development.
- Help develop winning themes, value propositions, strengths, risk-reducers, and differentiated solutions for initial proposal outlines.
- Work closely with consultants, sales personnel, and leadership to complete the formulation of win strategies and themesconsidering strategic relationships, competitor intelligence, etc.and ensure the message is articulated throughout the proposal.
- Solicit management reviews and approvals during proposal development.
- Monitor proposal content to ensure compliance with RFP requirements, evaluation criteria, and technical requirements.
- Research and gather corporate information, product information, and other standard materials for proposals.
- Maintain, augment, and improve our library of reusable components, templates, and processes to reduce response time and improve quality on future bids.
- Format and polish final proposal submittals.
- Write persuasively, crafting executive summaries and other critical components of deliverables, scopes of work, past performance, and resumes.
- Edit with a single voice.
- Articulate our value proposition based on feedback from members of the proposal and capture teams.
- Provide writing guidance to authors, volume leads, and capture coordinators to ensure that proposals are clear and concise.
- Work with team to prepare shortlist interview meetings.
- Debrief teams after proposal submittal.
- Interview team members to document successful and unsuccessful strategies and tactics.
- Facilitate a retrospective assessment on proposals and refine future proposal strategies, process, templates, and training.
What will make you a good fit
- BS/BA degree or relevant experience equivalent.
- Minimum of five years of related experience.
- Solid understanding of the RFQ/RFI/RFP process with municipal or utility clients.
- Proven ability to work across organizations with effective communication, leadership, and project management skills.
- Advanced skill level with business software applications, especially Microsoft Office products (Word, PowerPoint, Excel, SharePoint, and Teams).
- Experience with Adobe Acrobat and InDesign applications.
- Proven attention to detail.
- Excellent writing, grammar, and editing skills.
- Excellent presentation and written/verbal communication skills.
- Strong aptitude for improving organization, flow, readability, completeness, and clarity of technically intensive proposals.
- Ability to work in a deadline-conscious, results-driven environment.
- Interest in energy efficiency, renewable energy, and the utility sector technology is a plus.

The budgeted salary for this position is $50,000 to $80,000 USD + annual bonus up to 10%. Actual pay will be adjusted based on experience.
This person can work remote, a hybrid schedule, or from one of our physical office locations.
