What you will do

Role Overview:

The Records Management Lead ensures project document management and coordinates and controls associated RIM Department activities, establishing guidelines, internal rules, and procedures in accordance with the department and organizational governance. This position is responsible for ensuring the efficient execution of all administrative activities and the functionality and accuracy of project documentation databases, facilitating their accessibility to all EDP Renewables North America employees.

Main responsibilities:

  • Oversee development and enhancement of electronic and hard copy filing systems, and manage them to meet company administrative, legal, and financial requirements
  • Participate in the overall design and functional assessment of the project document filing system, specify and coordinate system improvements, and work with BPE and IT technical staff in the development, testing, and implementation of new records management tools
  • Advise on issues related to records retention and information management for North America; ensure compliance with relevant legislation and regulations related to records retention, disclosure, and compliance
  • Devise and ensure the implementation of retention and disposal schedules in document management systems in compliance with Company policies and procedures
  • Support standardization of record sources throughout the Company, and document compliance with Company record systems
  • Support the Legal team and General Counsel on litigation matters, discovery, and due diligence associated with investment and asset transactions
  • Coordinate external party due diligence documentation production for project construction and investment transactions, and enable appropriate access to company information
  • Train and supervise Records staff and train, as necessary, other Company personnel
  • Oversee the management of electronic and/or paper-based information, and ensure the accuracy and completeness of metadata captured in document filing system databases
  • Provide backup to the Associate Director and supervise the Project Document team in matters related to due diligence (tax equity, acquisition, and divestitures), including preparation of reports and data for attorney review and management of data rooms
  • Additional duties as required

What are we looking forMinimum Requirements:

Education: Bachelors degree in a related field, or an equivalent combination of training and experience

Professional Experience: 7+ years in technical, energy, or legal field, including experience with contracts and technical documentation, preferably for the renewable industry.

Licensure or Certification: Certified Records Manager preferred

Knowledge: Fully proficient knowledge of Microsoft Office software and enterprise-level content management database systems; experience with SmartDocs/SharePoint preferred

Travel:

Physical demands & working conditions:

Sitting/Standing/Flexibility: Ability to stand and sit for 8 or more hours when in an office environment

Walking: Ability to walk .5 to 2 miles per day, including across unpaved and rough surfaces when on project sites.

Speech/Reading: Ability to speak, read, and write English proficiently and deliver a variety of instructions furnished in written verbal, diagram, or scheduled form

Lifting: Ability to lift items weighing up to 10 pounds

Vision/Hearing: Ability to understand a variety of instructions furnished in written, verbal, diagram, or schedule form
