Role: Executive Assistant Company Overview: Earthlight Technologies is a family owned and operated business based in Ellington, CT. We specialize in solutions for residential solar, commercial solar, EV charging Stations, and commercial energy efficiency. Our mission is to make the process easy and seamless. We have 140 employees in our company with our main location being in Ellington, CT and a small branch of our company in Silverton, OR. Position Overview: We are seeking an Executive Assistant for our CT office to support the Chief Executive Officer (CEO) and Chief Operations Officer (COO), as well as provide administrative support to the Chief Financial Officer (CFO). The Executive Assistant will offer advanced executive administrative support, drawing on a wide range of experience, skills, and knowledge of organizational operations, policies, and practices. This role demands discretion and independent decision-making on matters crucial to the organization. The individual must excel at multitasking with keen attention to detail in a fast-paced, deadline-driven setting. Effective communication skills are essential for interacting with management, peers, and across the organization at all levels. Key Responsibilities include but are not limited to: – Handle various administrative tasks like managing schedules, organizing meetings, collecting meeting materials, dealing with expenses, and handling correspondence – Facilitate the coordination of agendas among the CEO, COO, and CFO to enhance the smooth flow of meetings and communication within the executive team. – Prepare presentations and materials, following company templates and style – Attend meetings with the CEO & COO to provide real-time assistance with planning, scheduling, and follow-up tasks. – Arrange travel as needed for the CEO, COO, and CFO and various employees as directed by the executive team. – Ensure consistent attendance and maintain a professional executive presence. – Plan and coordinate special events and meetings, handling tasks such as arranging venues, logistics, conference rooms, catering, room setup, communications, and providing overall support. – Oversee and manage both personal and business tasks and errands. – Ensure timely responses to emails, voicemails, and written messages.
