Job Description
Primary Function
The Document Controls Specialist provides high level specialized handling of documents on high profile projects with major clients as well as supervises all aspects of the vendor data efforts on a specific project or group of projects.
Duties & Responsibilities
- Assist in the processing of documents and drawing through the utilization of the Engineering Document Management System (EDMS) for the entire lifecycle of the files
- Request and input all pertinent information about all drawings and documents into the EDMS
- Assure that all non-technical quality control procedures have been used and that all engineering team checklists have been completed before submittals are issued to clients
- Administer access rights and use revision controls across different client Asset Management Systems to ensure the security of the EDMS, the integrity of the company and quality of client documents
- Assist with file transfers, plotting and reproductive services across all engineering teams
- Manage the shipping and delivery of client submittals
- Operate and maintain engineering plotting devices
- Maintain record retention logs on active and closed projects
- Additional duties & responsibilities as assigned by Project Management
Minimum Qualifications/Experience
High School Diploma, or equivalent, is required. Minimum of one year of prior office experience required; engineering industry preferred.
Possess skills in the following areas:
- Experience in SharePoint or other EDMS
- Excellent proficiency in Microsoft Office: Word, Excel, PowerPoint
- Must have the ability to prioritize, manage time well, troubleshoot and work in a fast-paced and deadline driven environment
- Must be organized and detailed oriented with the ability to multi-task
- Excellent written and verbal communication skills
- Proficiency in CAD software, basic drafting fundamentals, plotting, scanning and Document Management is beneficial (not required)
- This job is primarily performed in an office environment.
- Occasionally, work may be performed from home, after normal work hours or on weekends.
