Position Summary:
An Equipment Coordinator is responsible for managing and coordinating the acquisition, maintenance, and distribution of equipment within an organization. They ensure that equipment is properly functioning, available when needed, and maintained according to safety standards. They collaborate with various departments to identify equipment needs, research and source equipment, negotiate contracts with suppliers, and manage inventory. Additionally, Equipment Coordinators may also be responsible for training staff on equipment usage and troubleshooting any issues that arise.
Essential Duties / Responsibilities:
Maintain inventory at needed levels in depots and terminals by comparing inventory and booking levels to ensure equipment can meet export demands.
Perform equipment confirmation and release at depots and terminals by confirming in corresponding systems to ensure customers can pick up and return equipment for export bookings.
Aim to reduce the empty idle time throughout the coordinators region by communicating with depots and terminals, port operations departments, and m&r to keep a fluid inventory and minimize terminal storage.
Approve payment to the trucking community by processing email requests and creating work orders for container drays and chassis splits.
Maximize off-hire and on-hire program by communicating with leasing companies and HO Logistics to return and/ or pick up equipment from the depots and terminals to enhance logistical operations and target cost saving initiatives. Rebill misuses of empty units returning to incorrect locations. Conversing with other shipping lines regarding subleasing of units.
Provide immediate problem resolution for internal and external customers by identifying the dilemma and strategizing a solution to ensure excellent customer service.
Propose counts for vessel loadback including targeting idles, projected volumes, and damaged units and assist with preparation for vessel loadback and planning.
Miscellaneous related duties or projects as assigned.
Knowledge, Skills, and Abilities Required:
Proficient computer skills to include all Microsoft applications. (excel, outlook, word)
Excellent written, verbal, and interpersonal communication skills
Knowledge of shipping industry
Working knowledge of Microsoft Excel and Access
Education and Experience Requirements:
High School Diploma or GED required; Bachelor’s Degree preferred.
1+ years general work experience.
Solid working knowledge of Generally Accepted Accounting Principles
Strong working knowledge of MS Excel
