Remote Executive Assistant, Exciting Private Equity Firm

The Role

Our client is a U.S.-based private equity firm founded to accelerate the global renewable energy transition. The team is seeking a dynamic and energetic individual to join our team as the Executive Assistant and Office Manager. This position will be responsible for organizing and supporting the daily activities of the Chief Investment Officer, while assisting administrative functions for the firm. The ideal candidate will be highly organized, professional, and enthusiastic about managing daily functions and ensuring smooth operations.

This role initially be based virtually, but candidates should live within the Eastern Time Zone.

Responsibilities

  • Maintain the CIO and COO calendar: supporting daily task in outreach prioritization
  • Support and maintain consistent and professional communication
  • Schedule meetings, set agendas, take notes, and support follow up
  • Support drafting and follow-up of executive correspondence
  • Maintain CIOs address book and upload new contact regularly
  • Support file organization, and upkeep
  • Coordinate travel arrangements and trip organization for executive team
  • Manage expense reporting for executive team
  • Support HR functions
  • Coordinate with IT support to resolve technical problems efficiently
  • Assistant planning and organizing company events, meetings, and conferences
  • Coordinate mail for virtual mailboxes

Qualifications

  • 3+ years of professional experience
  • Highly organized, detail oriented, and professional
  • Exceptional written and verbal communication skills
  • A positive attitude and growth mindset
  • Passionate about environmental sustainability
  • A history of success in cultivating strong internal and external relationships and collaborating cross-functionally
  • Thrives in a fast paced environment with the ability to stay calm and composed
  • Strong technical capacity and experience working with the Microsoft Window suite (Word, PowerPoint, Excel, Outlook), experience and/or a willingness to learn Photoshop and Adobe Indesign
  • Discretion and confidentiality in handling sensitive information
  • Bachelor’s degree from an accredited university

Compensation

  • Compensation is competitive, and based on experience
  • Salary range $75,000-100,000, plus performance based bonus
