PURPOSE OF THE JOB:
To provide administrative support for departmental staff. To resolve complex administrative issues requiring sensitivity and tact. To serve as department expert on administrative policies and procedures and interpret guidelines for others.

Interaction within multiple levels of the organization via e-mail, phone, and in-person. Dynamic work environment requiring adaptability and continuous task prioritization. Thorough knowledge of company business, procedures, policies, and programs is essential.

5. Work independently and collectively with others making timely and confident decisions.
6. Develop and maintain specialized forms, reports, and spreadsheets for data compilation and to improve data flow.
7. Manage all aspects of departmental/site meetings including scheduling and coordinating meetings with internal and external contacts, catering arrangements, room bookings and the creation/distribution of agendas and materials.
8. Greet and provide general support to internal and external visitors.
9. Provide extensive calendar support of multiple calendars with effective communication
10. Orient new employees on departmental procedures.
11. Make recommendations on the development and implementation of new processes.
12. Provide clarification on company policies and procedures for department personnel.
13. Open, read, sort, and prioritize mail. Independently compose, type, and send some correspondence. Compose and type minutes, written agendas and itineraries and disseminate accordingly.
14. Prepare complex documents, presentations, reports, and letters while proofreading for typographical or grammatical errors and content. Some analytical ability is required to gather and summarize data for reports. Draft and implement new office operating policies and procedures.
15. Answer phone calls, provide information to callers or connect callers to appropriate people
16. Develop and maintain a filing system
17. Research new equipment needs through internal or external sources. Track supplies and maintain the appropriate inventory for department needs.
18. Coordinate, schedule and manage travel by request. Serve as a resource for department staff for all travel-related arrangements such as hotel, transportation, meeting locations, business-related entertainment, investigating cost-effective arrangements, and use of travel software and expense software. Process travel expense statements as needed.
19. Frequently process purchase requisitions based on corporate guidelines and serve as a departmental resource.
20. Work in a safe and responsible manner to create an injury-free and incident-free workplace.
21. Assist in special projects as directed by Leader. Provide non-routine project-based and administrative support, handling a high volume of competing requests that require professional discernment on appropriate urgency/prioritization to complete.

Experienced Administrative Assistant
KNOWLEDGE AND EDUCATIONAL LEVEL:
High School plus 2 years of administrative experience.
AA/AS and 1 year of administrative experience.
