Role:
The General Administrative Assistant will provide essential administrative support to ensure the efficient operation of the office or department. The candidate will work closely with the Leadership Team and Executive Team to facilitate communications, company project tasks, and assist M2X team members to ensure efficient and effective company operation. This role involves handling various clerical and organizational tasks, such as managing schedules, processing paperwork, and coordinating meetings. The ideal candidate should be detail-oriented, capable of multitasking, and comfortable interacting with internal staff and external stakeholders. The candidate should be well-organized, demonstrate strong communication skills, and display strong leadership skills.
Specific responsibilities may include:
Roles/Responsibilities:
General Administrative Support: Assist with daily office tasks, including answering phones, managing emails, handling incoming/outgoing mail, filing, and responding to inquiries
Scheduling and Calendar Management: Maintain and coordinate appointments, meetings, and events for team members or department heads
Document Management: Prepare, edit, and distribute correspondence, reports, and documents as needed
Office Management: Oversee office administrative tasks, including supply management, office organization, and liaising with vendors or service providers
Data Entry: Input, update, and maintain databases, spreadsheets, and files to ensure accurate and up-to-date records
Meeting Preparation: Organize and prepare materials for meetings, take meeting minutes, and follow up on action items
Travel Coordination: Assist in making travel arrangements, including booking flights, accommodations, and ground transportation
Communication: Act as a point of contact for internal and external stakeholders, ensuring smooth communication flow between departments
Special Projects: Support special projects or initiatives as assigned by supervisors or managers
Recruitment Coordination: Assist and support recruitment efforts including but not limited to on-site facilitation, travel coordination and candidate screening
Manage time, budget, and materials for company projects
May recruit, interview, hire, and train junior administrative staff in the department
Will serve as the office manager and oversee day to day office operations
Assist with oversight and management of company safety, policies, and procedures
Report important communications and provide information to Executive Team
Required Qualifications:
At least 2+ years of related experience required in an administrative or office support role
Excellent verbal and written communication skills
Strong organizational skills and attention to detail
Excellent time management skills with a proven ability to meet deadlines, often juggling priorities
Ability to function well in a high-paced and at times stressful environment
Strong knowledge of office administration, clerical procedures, and recordkeeping systems
Proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software
Ability to handle sensitive information with the highest degree of integrity and confidentiality
Must be able to sit for prolonged periods of time sitting at a desk working on a computer
Must be able to lift 15 pounds at times
Preferred Qualifications:
High school diploma required, bachelors degree in business administration or related field preferred
Associate or bachelors degree, applied technical training and certifications
5+ years experience in administrative or office support role
Strong skills and experience with Microsoft Office (Excel, Word, Teams, and PowerPoint)
Track record of working effectively in a fast-paced team environment
Salary:
$47,000 – $76,000 per year

Work Location: Brevard, FL with Offices in Rockledge and Cocoa, FL. This location is the heart of Floridas space coast. Assembly location at 1679 Clearlake Rd, Cocoa, FL. Manufacturing in industrial zone of Rockledge, FL.
