Job Description

Job Summary:

As part of the Student Affairs Business Office, the ASM Financial Specialist will work directly with students and staff to support the operations of the Associated Students of Madison (ASM), the UW-Madison student government. This position will work directly with ASM student leaders and students from Registered Student Organizations (RSOs) that seek to access student segregated fees, helping students to navigate a complex environment in a prompt and friendly manner.

The ASM Financial Specialist will track expenses and funding for student groups, while providing hands-on guidance that aligns with university and ASM policies. This position will develop financial reports, reconcile expenses, and work with various campus partners for the benefit of student organizations. Tasks include helping students navigate payments, reimbursements, and purchases through several university finance and HR systems. Occasional evening meetings with students may be needed. While the position is financed-focused, it requires an individual with a passion for working with, advising, and offering support to our students.

Responsibilities:

Primarily reviews, approves, and advises on a variety of complex financial transactions. Reconciles transactions. Maintains financial records, provides administrative processing support, and provides customer service for staff and customers in an assigned program area to support program financial management. Recommends controls and process improvements and troubleshoots complex financial errors. May be a lead or resource for others in the unit.

  • 20% Monitors financial transactions and fund balances and generates and reconciles complex reports and statements in accordance with established rules and regulations
  • 10% Reviews and approves complex transactions and assigns funding codes in accordance with established rules, regulations, and policies
  • 10% Reallocates expenses to appropriate funding strings
  • 10% Drafts communications and reports and maintains organization of varied records to provide administrative support within a specified work unit
  • 15% Answers complex fiscal questions and provides information based on set materials and standards to various audiences
  • 5% Reviews transaction processing internal controls and recommends policies and procedures
  • 5% Serve as a unit liaison to leadership providing financial advice, recommendations, and financial status updates
  • 5% May train staff on financial processes and best practices
  • 20% Responsible for hiring student employees in the payroll system for ASM and coordinating their onboarding activities

Qualifications:

Required abilities, skills, and experiences:
  • 1 year of working experience in general financial/accounting, administration, operations, and/or customer service roles or relevant student experience.
  • Proficiency with computer software/applications, Microsoft Office suite, and data entry techniques.
  • Ability to communicate with staff and students of various backgrounds with clarity and precision, both written and verbal.
  • Excellent organizational skills and the ability to manage and prioritize tasks/projects in a fast-paced environment

Preferred knowledge, skills, and experiences:

  • Knowledge of University, State, Federal, and/or Non-federal rules and regulations
  • Familiarity with UW-Madison systems such as WISER, ShopUW+, and e-Reimbursement
  • Experience with Payroll systems (Oracle PeopleSoft/Workday preferred)
  • Experience interpreting and analyzing financial policy and procedure

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely at an offsite, non-campus work location upon supervisor and department/Student Affairs division approval.

Salary:

Minimum $51,000 ANNUAL (12 months)
Depending on Qualifications
The expected minimum starting salary for this position is $51,000.00 annually. Actual pay will depend on experience and qualifications.
