The Role
Treaty Oak is seeking a diligent and motivated Junior Buyer/Procurement Specialist to join our team. This role is critical in supporting our procurement operations for major equipment contracts, specifically focusing on battery energy storage systems, modules, transformers, circuit breakers, and other major renewable equipment. The ideal candidate will assist in the sourcing, negotiation, and purchasing of these key components, ensuring quality and cost-efficiency align with our company standards and project timelines.
The individual will be responsible for equipment vendor management, logistics coordination through construction, payment management, negotiating and transitioning warranties to operations, and contract milestone monitoring, ensuring timely and cost-effective procurement aligned with project schedules. They will oversee multiple projects and support Procurement with strategic vision and market trends. The position will report to the Vice President of Procurement, working closely with finance, legal and construction to ensure equipment is delivered on time, buyer/supplier obligations are met, and payments are made on schedule, ensuring our partnerships are held to the highest standard, consistent with global ethical practices.
Key Responsibilities
- Procurement Operations:
- Assist in the procurement of battery modules, transformers, and circuit breakers.
- Prepare purchase orders and ensure timely delivery of equipment.
- Maintain accurate procurement records and documentation.
- Vendor Management:
- Support the identification and evaluation of potential suppliers.
- Establish and maintain relationships with vendors to ensure high-quality and cost-effective supplies.
- Assist in negotiating terms and conditions with suppliers.
- Logistics Management:
- Coordinate logistics and shipping arrangements with vendors to ensure timely and accurate delivery of equipment.
- Track shipments and handle any logistical issues or delays.
- Ensure compliance with international shipping regulations and customs requirements.
- Collaborate with the construction team to support logistics management, aligning deliveries with project execution schedules.
- Payment Management:
- Coordinate with the finance and legal departments to process vendor payments according to contract terms.
- Monitor and manage payment schedules to ensure timely disbursements.
- Address any payment discrepancies or issues with vendors.
- Contract Milestone Management:
- Monitor contract milestones and ensure that vendor deliverables meet contractual and agreed-upon timelines and specifications.
- Work with the project management and legal teams to ensure that all contractual obligations are met.
- Assist in preparing and submitting progress reports to management and stakeholders.
- Quality Assurance:
- Ensure all procured equipment meets the specified quality standards and regulatory requirements.
- Coordinate with the quality assurance team to address any issues with received equipment.
- Cost Management:
- Monitor and control procurement costs, striving for cost savings and value maximization.
- Assist in preparing cost analysis and reports for management review.
- Collaboration and Communication:
- Work closely with the engineering and project management teams to understand equipment requirements.
- Communicate effectively with internal and external stakeholders to ensure alignment and timely resolution of procurement-related issues.
- Market Research:
- Conduct market research to stay updated on industry trends, pricing, and new suppliers.
- Provide insights and recommendations based on market analysis to support procurement decisions.
Education and Qualifications
- Strong analytical and negotiation skills.
- Excellent organizational and time management abilities with an attention to detail.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
- Knowledge of procurement software and systems is a plus.
- Effective communication and interpersonal skills.
- 0-3 years of experience in procurement or supply chain management, preferably within the renewable energy or electrical equipment sectors.
- Bachelors degree in Supply Chain Management, Business Administration, Engineering, or a related field.
