Position Overview: Integra Energy is seeking a highly organized and detail-oriented Operations Coordinator to join our team. The Operations Coordinator will play a critical role in ensuring the smooth and efficient operation of our business by managing purchase orders, inventory, product logistics, and documentation for utility rebate programs. This position will also support vendor management, job order setup, reseller sales, and data maintenance in our proprietary software.
Key Responsibilities:
- Purchase Order Management:
- Create and process purchase orders, ensuring accuracy and timeliness.
- Track purchase orders and ensure the timely receipt of products and materials.
- Inventory Management:
- Check in products and maintain accurate inventory records.
- Monitor inventory levels and coordinate with vendors to replenish stock as needed.
- Generate inventory reports and analyze data to support decision-making.
- Logistics and Reporting:
- Report on product logistics, including shipping schedules, delivery status, and any issues that arise.
- Work closely with logistics partners to ensure on-time delivery and resolve any shipping discrepancies.
- Utility Rebate Program Support:
- Assist in the preparation and submission of documentation for utility rebate programs.
- Ensure all necessary paperwork is completed accurately and submitted on time.
- Lead problem-solving efforts to address project challenges and obstacles, ensuring that issues are resolved promptly and effectively.
- Vendor and Contract Management:
- Coordinate with vendors to organize and maintain contracts and paperwork.
- Ensure all vendor documentation is up-to-date and compliant with company standards.
- Job Order Setup:
- Set up new job orders, ensuring all necessary information is captured and communicated to relevant teams.
- Coordinate with sales and operations teams to ensure seamless project initiation.
- Reseller Sales Support:
- Provide operational support to reseller sales teams, including order processing and follow-up.
- Assist in maintaining strong relationships with resellers by providing timely and accurate support.
- Data Management:
- Maintain accurate data in our proprietary software, ensuring all information is up-to-date and reliable.
- Generate reports and provide insights to support operational decision-making.
- Basic Accounting:
- Create and send invoices to customers and utilities and track invoicing monthly.
- Oversee accounts receivable and reach out to customers who may be delinquent.
Qualifications:
- Two or four-year college degree preferred.
- Experience in operations, logistics, or a related field is a plus.
- Exceptional attention to detail and accuracy.
- Strong organizational and time-management skills.
- Self-motivated with the ability to work independently and as part of a team.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with inventory management systems or software is a plus.
- Ability to handle multiple tasks simultaneously and meet deadlines.
