Requirements

The role serves as the primary contact for Georgetown University in Qatar (GU-Q) operations on the main campus, overseeing day-to-day office management and enhancing GU-Q’s visibility through public relations and community engagement. The position is based in Washington, DC on Main Campus. This is a full-time, one-year term, renewable position.

Key Accountabilities

  • Serve as a main point of contact on Georgetown University’s (GU) Main Campus for Georgetown University in Qatar (GU-Q) operations.
  • Manage day-to day operations of the office on main campus.
  • In co-operation with the GU-Q Dean’s Office and the Office of External Relations increase GU-Q’s visibility through public relations, outreach and fostering relationships with the community based on Washington DC campus.

Key Activities

  • Accommodate visitors from GU-Q and assist them in networking and meeting their counterparts. Organize university tours if needed.
  • Assist GU-Q Dean, faculty and other senior managers from GU-Q, providing visitor services and facilitating their meetings with key stakeholders in Washington DC.
  • Support the onboarding of GU-Q students who come to main campus for a semester or a year abroad, and provide assistance for main campus students who travel to GU-Q.
  • Facilitate arrangements and appointments for visiting scholars from Doha to GU.
  • In cooperation with relevant units at GU-Q, coordinates visits of main campus staff, faculty and other guests in Doha.
  • Act as a liaison between relevant GU and GU-Q departments.
  • Provide logistical support for videoconference classes offered to students at GU-Q and main campus at the same time.
  • Provide administrative support for annual GU-Q faculty searches.
  • Assist in planning, organizing and coordinating programs and events sponsored by GU-Q, to foster GU-Q’s visibility on main campus, including information sessions, new staff and faculty orientation, Welcome Week, One Georgetown Day.
  • Provide on-site assistance for special events and conferences in Doha.
  • Assist in development of marketing materials and publications that promote GU-Q and increase their visibility on main campus.
  • Manage day-to-day administrative functions of the office, including record keeping, maintaining office systems, as well as securing office supplies and maintenance of equipment.
  • Develop and administer the office administrative budget.
  • Coordinate with and supports GU-Q Finance Department for all stateside transactions, including reimbursement requests, purchase requisitions, pro-card reconciliations, payroll and accounts payable, as needed.
  • Negotiate selected vendor contracts and GU-Q state-side business relationships.
  • Implement and maintains administrative record system between GU-Q and GU campuses, including file transfer systems, document scanning and sharing.

Knowledge And Skills

  • Excellent organizational, administrative, and coordination skills.
  • Working knowledge of basic financial concepts is preferred.
  • Meticulous attention to detail.
  • Proven ability to manage multiple tasks and deadlines.
  • Exceptional written and verbal communication skills.
  • Proficiency in Microsoft Office Suite.
  • Adaptable ability to work both autonomously and as a part of a team.
  • Knowledge of Middle East culture and environment, and the cultures of higher education is a plus.

Qualifications

  • Bachelor’s degree.

Experience

  • At least 2 years of experience in similar administrative positions, preferable at institutions of higher education.
  • Experience in managing budgets.

Pay Range

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$47,586.00 – $87,558.13

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
