The Facilities Project Manager is responsible for the security, maintenance, and services of AES Ohio facilities to ensure that they meet the needs of the organization and its employees. The main functions of this position will be coordinating facility services with vendors, budget, supporting people, establishing processes, upkeep and improvements, and facilitating technology integration. Additionally, this role manages all special facility related projects. This role reports to the Facilities Lead.

Main Responsibilities:

Develop and implement a comprehensive facility maintenance program, ensuring the upkeep, functionality, and cleanliness of facilities.

Ensure building assets are efficiently and effectively operated and maintained to provide a safe, clean, and comfortable work environment.

Support development and implementation of building standards.

Manage all special facility projects including coordinating with key stakeholders and building occupants.

Perform duties in office, mechanical, and production areas which may occasionally require mechanical labor support. Special Projects: Develop and manage special projects including vendor selection and coordination, budget creation and management, and project management.

Oversee and manage special projects, ensuring they are completed within scope, timeline, and budget while coordinating with vendors.

Create budgets for special projects by collaborating with relevant departments, vendors and stakeholders, considering resources, costs, and financial goals.

Collaborate with diverse stakeholders throughout the project lifecycle, gathering requirements, providing updates, and fostering a collaborative environment for successful project outcomes.

Supervise vendor contracted staff, providing guidance, training, and performance management to ensure a high level of productivity and efficiency for department.

Manage the relationship with contracted team of associates for high level facility operations, services, and maintenance activities.

Provide regular performance feedback, development, and coaching to direct report(s) and will work to drive consistency.

Direct, coordinate, schedule, and inspect the work of team members, contracted services, and any other positions/relationships as assigned.

Demonstrate a positive, professional, and customer service-oriented attitude in all formal and informal communications.

Leverage organization skills, Leverage organization skills, problem solving, and creative thinking to resolve escalated issues, drive continuous process improvement, and team development in a dynamic environment.

Perform Contract Management with all contractors providing services to ensure all facility systems are at peak operational performance, maintain the inner workings, all workspaces, all company equipment in a manner as good or better than industry standards in keeping with the direction and objectives of the company.

Advise and incorporate innovative technologies, skills, systems and procedures related to facilities management, construction and customer service.

Manage all facility services and communication in accordance with standard processes, procedures, and KPIs to ensure superior performance levels.

Repairs and Troubleshooting: Notify maintenance vendors to maintenance requests and coordinate vital repairs , either internally or through external vendors, while adhering to budgetary constraints and quality standards.

Identify issues proactively related to building performance, maintenance, and work with the team and the company to solve those problems and create systems to ensure that the problem occurs less frequently.

Coordinate with building operations for utility, facility, or other shut-down activity that can affect operations, evaluate any projects or repairs and gather their recommendations.

Vendor Management: Establish and maintain relationships with external contractors, suppliers, and service providers to ensure timely and cost-effective delivery of maintenance and repair services.

Source local services through vendors needed to perform day-to-day operations through third-party suppliers.

Maintain a positive and professional relationship with vendors.

Handle vendors effectively ensuring adherence to contract and driving effective utilization of suppliers opportunities for cost savings, consistent with AES Ohios values.

Develop and manage maintenance budget, monitor expenses, and find opportunities for cost savings without compromising quality.

Create and manage capital projects to maintain and upgrade the office.

Develop recommendations for improvements in a five-year plan.

Be a change agent for any initiatives rolled out in the office.

Develop budgets, controls cost, coordinate services providers, staff activities.

Compliance and Safety: Ensure compliance with all relevant codes, regulations, and safety standards by conducting regular inspections and audits to identify and address potential hazards or issues.

Ensure all building safety measures are within current compliance requirements.

Handle critical Incidents zero target for controllable incidents caused by vendors, employees, and missed preventive maintenance work.

Ensures compliance with portfolio wide initiatives, local, state, and federal laws, and governing regulations that pertain to the operating of facilities.

Ensure accurate records of maintenance activities, equipment inventory, and warranties. Generate reports on maintenance activities, budget performance, and other relevant metrics as required.

Develop and manage the annual operation expenses at budgeted levels and monthly forecasts.

Work with leadership of building maintenance to identify emerging trends.

Perform additional services as business needs arise.

Qualifications:

Education and Experience:

5+ years proven experience in project management.

Education in business and/or MBA a plus.

Strong troubleshooting abilities to diagnose and address facility-related issues promptly and effectively.

Strong customer service and communication skills.

Advanced proficiency in Microsoft Suite a must (Excel, PowerPoint, Word, Outlook).

Experience in a managerial role and/or leading a team.

Ability to engage with all levels of the organization and external vendors, utilizing their unique talents to better inform projects and day to day activities.

Excellent leadership and team management abilities to effectively supervise and empower a diverse team.

Exceptional organizational and planning skills to prioritize tasks, allocate resources, and meet deadlines.

Full understanding and ability to lead with safety and compliance top of mind.

Strong verbal and written communication skills to liaise with internal partners, external vendors, and contractors.

Demonstrated ability to develop successful relationships with and influence customers, both internal and external.

Ability to collaborate effectively across different departments and levels of the organization.

Analytical mindset with the ability to identify problems, evaluate alternatives, and make informed decisions to achieve desired outcomes.

Strong attention to detail and a proactive approach to identify potential maintenance needs and address them proactively.

Proactive problem-solving approach in facilities management and maintenance.

Ability to learn on the fly when facing problems and open to change when challenged with unfamiliar tasks.
