Description of Work Unit
Founded in 1870, Colorado State University is among the nations leading research universities and enrolls approximately 32,000 undergraduate, graduate, and professional students. Located an hour north of the Denver metro area, Fort Collins is a vibrant community of approximately 157,000 residents that offers the convenience of a small town with all the amenities of a large city. Fort Collins is situated on the Front Range of the Rocky Mountains with views of 14,000 foot peaks, and offers access to numerous cultural, recreational, and outdoor opportunities.

The Energy Institute is operated under the Office of the Vice President for Research (OVPR) at Colorado State University (CSU). The Institute builds on the long history of work in energy, climate solutions, and decarbonization at CSU and is intended to foster greater collaboration among energy faculty across all eight colleges with broad access to facilities for faculty and industry partners. The Institute conducts research, education, commercialization, and outreach activities for the entire CSU campus. Also, the Institute operates the Powerhouse Energy Campus and provides safe, secure, and sophisticated facilities for university investigators and industry partners to collaboratively develop clean energy solutions. This position resides at the Powerhouse Energy Campus, which is an industrial working environment.

Position Summary
This position is the customer-centric welcoming face of the Powerhouse Energy Campus and exists to provide customer service, event coordination and management, and executive administrative support for the Energy Institute. The coordinator will provide customer service to all Powerhouse visitors, including faculty, staff, students, and VIP guests such as State & Federal elected officials and industry executives. This position is the primary receptionist and concierge for the Powerhouse, providing wayfinding and facility information creating a professional world-class experience for all stakeholders. This position plays a key role in the coordination of Powerhouse events and meetings, including student courses and executive-level engagements. This position supports building safety and security efforts, processes, and programming. This position directly interacts with Energy Institute leadership and supports scheduling and communication on their behalf by promoting and representing Energy Institute programs and objectives to the campus community, and internal and external stakeholders visiting the Powerhouse Energy Campus. In summary, this position is viewed as the go-to person for all visitors, events, and administrative duties related to them with professional and timely communications and an understanding of the operations and mission of the Powerhouse Energy Campus, and the Energy Institute. A signing bonus of up to $1,250 may be considered for successful candidates.
Required Job Qualifications
  • Bachelor of Science/Arts degree in communications, public relations, or related field OR a High School Diploma/GED plus 5 years relevant work experience.
  • Three years of relevant work experience.
  • Working knowledge of Microsoft Office and proficiency in learning new computer programs, software, and systems.
  • Demonstrated ability to organize, plan and execute a wide variety of events including stakeholders ranging from students to faculty, administrators, and invited guests, and events that scale from small workshops to large professional events.
  • Ability to build and maintain collaborative working relationships with diverse interdisciplinary individuals and teams.
Preferred Job Qualifications
  • Excellent written and verbal communication and organizational skills.
  • Experience managing individual and group calendars.
  • Familiarity and proficiency with online meeting platforms and meeting room technology.

Powerhouse Concierge & Events Coordination
Duty/Responsibility
  • Serve as the public face of the Powerhouse Energy Campus, welcoming all guests and visitors and assisting visitors, including obtaining and providing information about the mission and objectives of the Energy Institute.
  • Key resource for all building occupants relative to operations; package delivery, health, and safety, for example.
  • Train others and serve as a resource for facility requests, such as room reservations, and access.
  • Collaboratively design, update, and implement Energy Institute and Powerhouse Energy Campus manuals, forms, and guides.
  • Plan, organize, promote, and facilitate events (workshops, seminars, conferences, and other outreach) that fall under the Energy Institute purview, including Powerhouse users.
    • Maintain communication with speakers, vendors, and participants associated with the event
    • Coordinate closely with event-related stakeholders
    • Review and analyze event evaluations for continued improvement and learning
    • Develop relationships with OVPR and other CSU event-related teams for optimized event planning and execution.
  • Tour scheduling and tour guide coverage coordination for all visitors.
  • Actively manage event budgets to ensure expenditures remain within limits and deliverables are met and submission of financial forms and documentation to appropriate finance teams
  • Manage all meeting spaces and associated scheduling at the Powerhouse Energy Campus
  • Be available outside of business hours to ensure event success
  • Support leadership team, director of engineering, lab manager, and other Energy Institute faculty and staff for general operational needs and building operations.
  • A member of the Energy Institute Operations and Communications teams where monthly, collaborative problem-solving and improvements of policies, processes, and procedures are discussed. Attendance in both teams meetings on a regular cadence.
  • Ensure smooth operation of all meeting rooms within the Powerhouse Energy Campus facility; including IT support and resolving scheduling conflicts.
  • Examine events, programming, and communications with a Diversity, Equity, and Inclusion lens.

  • Schedule meetings and events for the Energy Institute leadership team as needed.
  • Proactively determine gaps in Energy Institute representation for meetings and engagements across campus and with external stakeholders based on leadership team schedules and identify solutions.
  • Maintain awareness of leadership team meeting requests and support these as needed.
  • Support the engagement and mission-critical activities of the leadership team.
  • Provides leadership team with daily, short-term, and long-term views of current and incoming requests and priorities, including tours and events.
  • Generate reminders to the leadership team regarding upcoming deadlines or items that need attention.
  • Work with the Communications Lead to prepare documents, presentations, and draft communications on other platforms to ensure a consistent and successful message and brand promotion for the Energy Institute.
  • May serve as the Energy Institute representative to external groups, academic leaders, organizations, strategic partners, and vendors as appropriate to ensure the Energy Institute mission and objectives are met.
