Basic Function

HF Sinclair Woods Cross Refining LLC., located in Woods Cross, Utah is seeking an Operations Scheduler. This position is responsible for the creation of employee work schedules and proper allocation of resources for Operations. Responsible for coordinating training schedules with multiple departments.

Job Duties

  • Works independently to schedule personnel for the operations department several weeks in advance to ensure resources are in place.
  • Liaises with various departments to determine and set schedules. Revises daily schedule, as necessary, and communicates all changes to affected areas.
  • May be required to call out employees to cover vacant shifts or when extra personnel are needed.
  • Maintains operations shift and vacation scheduling.
  • Updates the operations schedule after supervisors approve hourly employee shift trades or time off requests.
  • May enter vacation and shift trades in the timecard tracking software.
  • May review timecard accuracy for payroll processing.
  • May update operations overtime report.
  • May maintain a centralized training calendar.
  • Assigns computer-based training and may act as, or backup the primary site administrator for the refinery myLearning system.
  • Performs daily office responsibilities (i.e., phones, faxes, copying, filing, mail, typing, etc.).
  • Performs various data entry assignments.
  • Coordinates various processes and maintains documents and records related to process (may include audits).
  • Prepares, monitors, and maintains various files, reports, records, systems, and documents including spreadsheets.
  • Provides administrative support as assigned and as needed.
  • May maintain orderliness of conference rooms, boardrooms, and other areas to ensure meeting preparedness.
  • May act as department document control coordinator.
  • May be required to assist with operations employee training, maintaining records, operating procedure management, etc.

Special assignments or tasks assigned to the employee by their supervisor, as determined from time to time in their sole and complete discretion.

Experience

A minimum of two years of on-the-job experience is required.

Education Level

A minimum of a High School degree or the equivalent is required.

Required Skills

In depth knowledge and understanding of union contracts. Ability to apply pre-established guidelines to intermediate level administrative and data entry assignments. Working knowledge of Microsoft Office products, intermediate to advanced word processing, database, e-mail, spreadsheet and other computer applications skills are required.

Organized, effectively manages time, able to prioritize, and take initiative. Ability to perform both technical and administrative clerical assignments. Good problem solving, listening skills and the ability to effectively communicate with others, both written and verbal communication, basic reading and writing skills; ability to perform basic mathematical calculations, ability to work independently, take initiative, cultivate and maintain professional business relationships, multi-task and maintain equanimity under pressure; detail oriented, punctual, dependable and flexible. Works well with employees of all levels in the organization.

PREFERRED SKILLS:

Previous experience developing, distributing, and managing work schedules for rotating shift work employees. Knowledge of Kronos Workforce Central scheduling software.

Supervisory/Managerial Responsibility

None.

Work Conditions

Office based and depending on assignment, may require work outside of normal working hours with minimum advance notice and travel by car locally on an as needed basis.
