Job Overview

The Administrative Assistant will provide administrative support to ensure efficient operation of the ESI Sisters office and remote sites. An ability to prioritize, self-motivate, and communicate effectively with cross functional team members is of the utmost importance to this position. The Administrative Assistant is responsible for confidential and time-sensitive material and must be familiar with a variety of our industrys concepts, practices, and procedures. You will often be the first point of contact at ESI, so a professional and engaging demeanor will be key to your success in this role. Additionally, solid technical skills and the demonstrated ability to work effectively with file sharing software.

Reports To

The Administrative Assistant will report to the Director of Human Resources.

Responsibilities and Duties

  • Support employee rewards and develop recognition programs.
  • Maintain roster of mandatory compliance posters for our offices and remote Operations sites.
  • Support tracking and maintenance of PE Licenses.
  • Maintain inventory and purchase office and building maintenance supplies as needed.
  • Organize & maintain the Sisters office layout and material needs.
  • Purchase company swag and business cards and distribute to new and existing employees.
  • Maintain all office calendars.
  • Maintain current employee phone lists and site locations.
  • Provide administrative support to Human Resources and Finance including file optimization, appointment scheduling and new hire onboarding.
  • Identify opportunities to support employee engagement and morale.
  • Draft and distribute company communications, including emails, correspondence memos, letters, faxes, and forms.
  • Handle sensitive information with the utmost confidentiality.
  • Assist with travel and accommodation planning.
  • Coordinate companywide events.
  • Provide general support to office visitors.
  • Other duties as assigned.

Minimum Qualifications

  • High School diploma, general education degree, or equivalent; Associate degree with an
  • emphasis on communication is preferred.
  • Proficient in the ability to organize, prioritize and take initiative.
  • Strong attention to detail.
  • Proficient with the Microsoft Office suite of software. (Word, Excel, PowerPoint, etc.)
  • Excellent verbal and written communication skills. Ability to deal with complex problems and present recommendations and findings in a clear, concise format; ability to interact effectively at all levels within and outside of ESI. Ability to communicate effectively with team members, vendors, and clients.
  • Quick learner who adapts well to a dynamic environment and gets things done, combines creativity, problem-solving skills, and a can-do attitude to overcome any obstacle.
  • Highly motivated and willing to take on multiple responsibilities at once; strong organizational skills with the ability to multitask in an environment with changing priorities.
  • Valid drivers license for state of residence.
