What You Can Expect

As our Administrative Assistant IV, you will support the Sales and Marketing leadership team. In this role, you will be responsible for customer and employee event planning and communications. This blend of responsibilities directly supports ENGIE Resources’ geographically distributed sales team. Specifically, your duties will include managing expenses, travel arrangements, and organizational tasks for approximately ten sales and marketing leaders. You will lead front-office expense management using COUPA procurement software, with a focus on managing purchase orders and invoices. By planning and executing front-office activities, you will help relieve the administrative burden on sales and marketing personnel.

In this role, you will ideally be someone looking to balance internal administrative assignments while supporting a dynamic team. This position sits in Houston, TX and reports to the Vice President, Marketing & Pricing.

  • Coordinate administrative responsibilities, including calendar management, meeting setup, travel arrangements, and preparing internal and external correspondence
  • Maintain and update user lists, vendor contracts, and purchase orders using COUPA for marketing and subscription services, ensuring timely and accurate payment of invoices
  • Plan and manage internal and external events, negotiating with vendors and overseeing logistical details for sales and marketing staff participation
  • Organize travel and logistics for annual Sales Kickoff meetings, including location selection, budget management, and on-site support
  • Track and report on employee training objectives to improve completion ratios, and assist with seating arrangements for hybrid work schedules
  • Execute and manage sales and marketing performance incentives and coordinate related administrative tasks
  • Serve as on-site liaison for event issues and concerns, arrive early, stay late to help setup & teardown sales annual gathering

What Youll Bring

  • You hold at least an Associate degree in Business Administration or related field
  • A minimum of five (5) years of administrative experience with a minimum of two (2) years of experience supporting executive level handling administrative duties, and coordinating travel and event logistics
  • You have experience in reviewing contracts, working with vendors, and coordinating with Legal support
  • You are proficient in collaboratively developing and implementing administrative workflows and processes
  • You possess excellent oral and written communication skills and can present ideas professionally
  • You are capable of maintaining forward progress on multiple work streams and adapting to changing priorities
  • You have working knowledge of Coupa, Concur, and Microsoft 365, and can think analytically and work effectively in project teams

  • This role is eligible for our hybrid work policy

Compensation

Salary Range: $53,900 $76,125 USD annually

This represents the average expected pay range for a qualified candidate.

Actual offered salary may depend on geography, experience, industry knowledge, education, internal pay alignment, or other bona fide factors.

In addition to base pay, this position is eligible for a competitive bonus.
