Job Description

System Era, the makers of Astroneer, are looking for an enthusiastic full-time Studio Operations Assistant who is passionate about creating a welcoming, creative, fun, and efficient studio environment for a small-to-medium size hybrid team. In this role, you will be the spirit of our facility as you tend to our spaces and take point on a variety of day-to-day office tasks to facilitate a cozy and supportive work environment. Your day begins with brewing coffee and stocking the kitchen with snacks, and then wraps with tidying and resetting the space. In between, you are excited to wear multiple operational hats, always willing to take on a challenge and learn something new. You possess the initiative to work independently and the collaboration skills to work as a team support role for the Operations Manager.

From keeping the office tidy and teaming up on studio events, to maintaining inventory and basic data entry, your work supports and collaborates with the Operations Manager and COO. This is a full-time non-exempt position with a guaranteed 40 hours weekly with approved overtime accumulating after 40 hours in a week. This role has eventual potential for growth into a full-time Studio Coordinator/Executive Assistant role- dependent on desire, prior experience, and professional development. While the System Era staff works in a hybrid model, this role is an onsite support role for our office in the Fremont neighborhood of Seattle during our standard business hours of M – F 9:00 am to 5:00 pm. Occasional after-hours event support will be required.


The ideal start date for this role is July 22, 2024
. The base salary range for this position is $63,000 – $70,000 depending on the skills and experience of the candidate. Responsibilities:

  • Foster a balance of a professional and creative play filled onsite environment in alignment with our studio values.
  • Daily general tidy of the studio space (wipe down high touch spaces, dishes in dishwasher, tidy shared areas, water plants, etc.) and scheduling deeper cleans as needed.
  • Ensure the kitchen is well stocked with healthy and diverse snacks, informed by studio favorites and dietary needs.
  • Facilitate office shipping, mailing, inventory, and maintenance requests.
  • Studio purchasing for IT, office, and snack supplies including credit card and receipt tracking.
  • Coordinate conference room schedules and space access in support overall studio planning/calendar efforts including coordinating vendor visits, filing NDAs, and hosting space tours.
  • Serve as a safety team captain during emergencies and assist with monitoring studio security.
  • Communicate frequently with building management and staff members via Slack/email about any on-site events, impacts to access, parking violations, or studio updates.
  • Shared maintenance of virtual spaces/wikis such as our Studio Hub and HeyTaco store.
  • Support basic staff IT needs such as power/network cabling, computer restarts, minor troubleshooting and workstation set-up.
  • Maintain merchandise, IT equipment, and resource library databases and physical inventory.
  • Work with Operations Manager to coordinate and execute any space planning, renovations, and moving efforts.
  • Act as the cheer meister of the studio by hosting the celebration portion of our weekly kick-off meeting and decorating the studio for events and seasonal holidays.
  • Work as part of the physical product team to coordinate staff gifts and merch.
  • Collaborate with Operations Manager to safely plan, budget, coordinate and host 10 + social events a year including but not limited to: monthly pizza days and Wednesday club, bi-annual game jams, and annual BBQ, Holiday, and Space Camp events.
  • Assist with and promote studio educational and community support efforts such as our professional development, orca card, affinity groups, gratitude, and donation programs.
  • Act as a leader and advocate for studio culture and value pillars including participation and passion for DEI learning and integration.

Qualifications:

  • Experience working in an office environment via office management, operations, or administrative role experience.
  • Ability to sequence and prioritize tasks, always looking 2 or 3 steps ahead.
  • Self-initiative to identify projects and recommend improvements.
  • Standard mental math, basic algebra, and budgeting skills.
  • Operate standard office equipment such as printers, laminators, etc.
  • Computer proficiency in Windows OS program suite (Word, Excel, PowerPoint)
  • Tech Savvy with basic IT skills and the willingness to grow.
  • Professional written and verbal communication, including reception phone skills.
  • High emotional intelligence and strong interpersonal communication.
  • Valid Driver’s License for occasional studio errands and event activities via a GigCar subscription.
  • This role requires physical ability to lift and move 25lbs solo and 50 lbs with assistance, reach overhead, bend over, move objects, setup tables, and perform regular computer work.
  • Must be available for at least 3 nights and 2 weekends per year for events (overtime eligible) – additional time may be offered.

Nice to Haves:

  • Typing/WPM 60+
  • CPR Certification (Valid or renewable).
  • Experience working in Slack, Airtable, Miro, or other collaborative software.
  • Theater Stage Management or Event planning training/experience.
  • Interest/Enjoyment of video games and the creative process. Maybe it’s your hobby!
  • Experience with basic tech support of windows operating systems.
  • Customer service, hospitality, executive assisting, or reception experience.
  • Experience working to support creative teams.
