Description

As a Project Manager at Milepost, you will develop and deliver project strategies that strengthen teams, programs, and businesses and support the transition to a clean energy future.

This position is responsible for managing client relationships, project implementation, and new project sales. Everyday tasks include project visioning, planning, coordination and communications, and management of workplans, budgets, timelines and tasks, and project teams. You will manage projects and contribute at the task level through activities such as meeting strategy and facilitation, writing, and final quality reviews. Yours will be the last set of eyes on anything deemed “client ready,” ensuring everything sent is representative of the value and high-quality work Milepost provides.

On the resource management side, you are expected to gain a holistic understanding of Milepost’s internal environment, proactively anticipate current and future resourcing needs, and work at the organizational level to facilitate project resourcing for Milepost’s Creative Team. This position is responsible for monitoring projects from planning to completion, ensuring resource needs are fulfilled, workloads are equitably distributed, and staff expertise and experience are matched with project requirements. This position is frequently engaged to help solve problems related to creative project planning and capacity. Maintaining positive, proactive, and professional communication with coworkers is critical to the successful performance of this position.

Core Responsibilities

Project Management – 65%

  • Ideate, drive, and oversee projects from concept to completion, moving teams and activities forward in alignment with project objectives, budget, and timelines.
  • Manage project scope, tasks, budget, and timeline to ensure team capacity and revenue targets are met.
  • Coordinate and clearly communicate deadlines, team roles and responsibilities, and any changes that have project implications.
  • Develop project workplans, including objectives, scope, deliverables, budget, and timelines.
  • Manage and contribute to project components, including research, data collection and analysis, writing, and meeting/workshop facilitation.
  • Client communications, including facilitating clients’ effective communication with and engagement of key internal and external stakeholders.
  • Business development activities, including idea generation, proposal development, RFP response management and development, conference presentations, and client upserving.
  • Incorporate principles of energy efficiency, energy management and sustainability into internal and client projects.

Resource Management – 35%

  • Establish and manage a formal resourcing process for the company’s Creative Team. Includes:
  • Serving as the initial point of contact for resource assignments.
  • Coordinating with managers, department leads, and leadership to understand project requirements and deploy appropriate resources according to project needs and capacity.
  • Resolving scheduling conflicts through coordination with managers.
  • Monitoring project progress at a regular cadence, and updating tracking tools to ensure companywide data integrity.
  • Organize and support capacity planning, forecasting, and staff utilization tracking.
  • Oversee and monitor:
    • employee workload, utilization, and overall workload distribution/balancing.
    • staff availability for projects based on capacity, skills, and experience.
    • forecasted and projected project work (30, 60, and 90 days out).
  • Maintain a skill and subject matter expertise inventory by person to assist in aligning people to projects.
  • Maintain up-to-date Standard Operating Procedure documentation for this position and its associated processes.
  • Qualifications & Competencies

    • Proficient in project management practices, skills, and concepts.
    • Exceptional interpersonal and communication skills
    • Excellent budget management skills.
    • Excellent written, verbal, and interpersonal communication skills.
    • Proven ability to meet deadlines under pressure, adjust to changing priorities, and manage multiple shifting timelines.
    • Proficient in Microsoft Excel: pivot tables, formulas, data table structure, and error checking.
    • Experience with data extraction, organization, and reporting.
    • Experienced with Office 365 products including PowerPoint, Word, Outlook, and SharePoint.
    • Able to work collaboratively and proactively in a remote team environment.
    • Able to maintain professionalism regarding schedules, costs, deadlines, and work processes.

    Education & Experience

    • Bachelor’s Degree or equivalent work experience in project management, business administration, or a related field.
    • 3-5 years prior experience in a consulting or creative agency environment is preferred.
    • Project Management experience in creative or communications deliverable development.
    • Successful design, implementation and management of project plans and budgets of $300,000+.
    • Project Management certification (PMI or other) is a plus.
    • Project Management experience in one of the following is a plus: government sector, grant development, program design, energy sector.
