Position Overview:
Novelis is the world leader in aluminum rolling and recycling, producing an estimated 19 percent of the world’s flat-rolled aluminum products. We work alongside our customers to provide innovative solutions to the aerospace, beverage can, automotive and high-end specialty markets.

Headquartered in Atlanta, Georgia, USA, Novelis has approximately 11,600 employees in 33 operating facilities on four continents and is investing $2.5 billion to build a new low-carbon recycling and rolling plant in Bay Minette, Alabama. The highly sophisticated facility will serve growing demand for aluminum beverage can sheet in North America. The new facility will also serve the automotive market, where aluminum is the fastest growing material as automakers make plans to achieve their sustainability goals. It will aim to be net carbon neutral for Scope 1 and 2, be powered primarily by renewable energy, use recycled water and be a zero-waste facility.

Responsibilities & Qualifications:

Novelis Bay Minette is seeking a Site Administrator for our Bay Minette, AL facility. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. Given the dynamic nature of the project, we rely on the Site Administrator to be flexible and consistent while maintaining the confidentiality of high-level project and plant operations.

This position is responsible for providing facility service support to meet Novelis internal business needs. The position will actively participate in the day-to-day operations including, but not limited to procurement, vendor management, facility maintenance and customer service.

Support also is given to Bay Minette for the set-up, relocation, and liaison/guidance for offices within the Bay Minette plant. Additional duties relating to this are real estate, facility services and contract setup and collaboration with the appropriate parties (legal, business unit, etc.)

Facility responsibilities include presenting and execution of programs for the maximum utilization of services and equipment for office space and facilities. This includes space optimization studies to maximize the present conditions and value for the employee base and management and forecast appropriately the time when space constraints will affect the business process.

This position also provides support and coordination for environmental health and safety as it relates to the general office space and operations. This role is in an office setting, on site daily. This is not a hybrid/remote role.


Responsibilities:


Customer Service
  • Manage all site visitors (greet guests, maintain log book of visitors, access levels, safety etc)
  • Manage walk in traffic with coordination to appropriate contact
Facilities Management
  • Manage all site vendors (food and beverage, uniforms, safety, janitorial supplies, etc)
  • Manage Purchase Orders and Invoices for above services
  • Coordinate building maintenance with building owner under terms of lease
  • Coordinate Novelis required building maintenance under the terms of the lease
Schedule Management
  • Develop and maintain all calendars for shared spaces and conference rooms.
  • On site schedules for Steering Co meetings in support of Executive Staffs assistants
  • Meeting set up (room preparation, food and beverage, printed material, etc as needed)
  • Schedule off site meetings as needed
Public Facing Appearance
  • Maintenance of public facing areas
  • Reception area maintenance
  • Routing of Mail (USPS, UPS, and FedEx)
Uniforms
  • Manage Cintas Uniform orders, sizing employees
  • Maintenance of Sample Sizes
  • Maintain Purchase Orders and Invoices
Record Keeping
  • Weekly reports to Project Director and Plant Manager
  • Expense Reports, Credit Card reports (if required by direct supervisor)


Qualifications:

  • Associates Degree or equivalent experience in Business or related field
  • Ability to demonstrate working knowledge of Microsoft Word, Excel, PowerPoint
  • 3 5 years of administrative experience, preferably in a manufacturing environment
  • Be flexible and meet demands of a changing work environment.
  • Be self-motivated and work independently with minimal direction.
  • Ability to successful communicate and work well with Operators, Staff, and Managers.
  • Office Machine Operations

Location Profile:

Novelis newly announced Bay Minette facility will be located 35 miles northeast of Mobile, AL and 45 miles west of Pensacola, FL and is expected to create approximately 1000 high-paying, advanced careers in modern manufacturing and become fully operational in 2025. This highly advanced rolling and recycling facility will be the first of its kind. It will primarily serve our customers in the beverage can and automotive markets.
