Sales and Marketing Coordinator

Darcy Solutions is seeking a highly motivated and entrepreneurial Sales and Marketing Coordinator to join our growing startup and help shape our future.

The ideal candidate has experience in administering Customer Relationship Management processes, executing promotional plans with customers and other partners, and building a culture of performance through consistent administrative activities.

Candidates should share our passion for making a meaningful contribution to reduce our collective carbon emissions footprint and have an affinity for collaborative problem-solving within our team, with our industry partners, and customers.

The role will provide a mix of administrative tasks and assignments across several key areas of the business with a focus on sales and marketing. With funding from the NSF, DOE, USDA, State of Minnesota, and climate investors, Darcy is developing new groundwater-based, geothermal approaches to sustainable heating and cooling for commercial, industrial, and multi-family residential buildings. Were working closely with our industry partners to pioneer new and exciting, integrated ground loop-HVAC designs to help our customers meet increasingly aggressive carbon emissions reduction goals and energy efficiency requirements while lowering costs. Our approach integrates elements of water well and geothermal technology, resulting in a novel way to put groundwater to work.

The Sales and Marketing Coordinator role offers candidates the chance to be part of an innovative company impacting greenhouse gas emissions in a collaborative work environment with opportunities for professional growth and development.

Responsibilities:

Customer Relationship Management (CRM) Software Administration

* Enter new opportunities into CRM and corresponding data platforms, monitor and update opportunity records with relevant information

* Work with other Darcy departments to obtain and proactively share information with sales channel partners in a timely manner

* Respond to incoming questions or requests as necessary

* Proactively review opportunity records for deadlines and assist in providing reporting for Sales Department

* Build initial pricing and proposal files and review with Sales Leader

Preconstruction

* Follow up and complete permit applications and communications including form completion and obtaining signatures

* Assemble RFQs for subcontractors and vendors for review by preconstruction manager

* Enter and maintain data for supply chain order status

Construction

* Coordinate construction meetings and keep or compile notes in a digital format

* Maintain electronic project information including filing of key documents and ensuring project folders are in good order

* Manage data supporting inventory status

Partner Collaboration and Company Promotion

* Work with customers and other industry partners to execute promotional activities: meetings, customer events, communications, and more

* Create and share informational materials as needed (presentations, communications, marketing collateral, promotional items)

* Coordinate performance reviews with channel partners, including the assembly and organization of reports

* Provide company information to partners

Internal Administrative Duties

* Provide support to Darcys executive leadership by coordinating meetings, locations, schedules, travel, meals, expense reporting, and other supporting activities

* Manage weekly and monthly reporting using 90.io software

* Assist in event planning and execution

* Coordinate cross functionally within the organization to follow up on clarifications and past-due items

* Track ongoing expenses for the department as necessary for budgeting and annual planning purposes

* Coordinate and organize team outings and events

* Other duties as assigned

Qualifications

  • Minimum of two years of experience in a sales or marketing administrative role, handling tasks as described herein such as proposal preparation, performance reviews, and report generation
  • Self-starter with the ability to work independently and take initiative
  • Ability to work effectively within a team and coordinate with different departments
  • Excellent communication skills, both verbal and written
  • Capable of efficiently following process expectations for administrative duties, with a strong ability to develop and improve these processes
  • Strong organizational skills with the ability to handle multiple tasks and prioritize effectively
  • Keen attention to detail for accurate data entry and report generation
  • Proficiency in scheduling and coordinating meetings with external parties
  • Exceptional interpersonal and customer service skills to handle queries and maintain client relationships
  • Proficiency in Microsoft Office Suite, specifically Excel, Outlook, PowerPoint, and SharePoint
  • High school diploma or equivalent required; a 2-year certificate or 4-year college degree is preferred

Additional Skills

  • Experience in Construction, Renewable Energy, HVAC Equipment, or similar industries
  • Creative problem-solving skills, and superb time-management and organizational skills
  • Capability with Graphic Design
  • Diligent and capable of driving tasks to completion despite potential challenges
  • Comfortable interfacing with people with different backgrounds and approaches (Sales, Engineering, Geology, Customers, etc.)

Darcy Solutions is a cleantech startup that integrates geology, engineering design, construction, and O&M Services to deliver groundwater enabled geothermal solutions for decarbonization of the built environment. Our foundational technology was initially conceived by our co-founder while he was a research scientist at the University of Minnesota. Since spinning out from the University in 2018, we have focused on developing our technology for commercial application and rapidly driving the growth of our company. We installed our first pilot system in 2019 and following the launch of our first commercial system in 2020, we are enjoying strong interest in our geothermal-HVAC system solutions.
