The Prospect Development Team is part of Earthjustice’s Development, Operations, Research, and Evaluation Team and manages two branches of work – Prospect Research and Prospect Management. The Prospect Research Team’s primary role is to provide accurate and timely research to gift officers and senior leadership to optimize fundraising efforts. The Prospect Research Team is seeking a One-Year Prospect Research Assistant to join its four-person team to provide support during some team transitions.

The One-Year Prospect Research Assistant will conduct basic research and provide general administrative and data management support under the supervision of the Manager of Prospect Research. This position requires strong attention to detail, excellent verbal and written communication skills, and discretion as they will work with sensitive information.

This is a 12-month, part-time (20 hours/week) role with an anticipated start date in December 2024. The successful candidate must work a hybrid schedule from our New York, NY Office.

Responsibilities

Research Support (40%)

  • Research and synthesize biographic and financial information on prospects, both individuals and foundations, from various resources, such as news outlets; financial and philanthropic reports; reference materials; and organization files.
  • Provide accurate, timely and professionally written materials that incorporate feedback on prospects to help teams meet fundraising objectives, including for donor visits, events, etc.
  • Respond to ad-hoc research requests from colleagues and department management.
  • Perform other duties and special projects as needed.

Administrative Support (30%)

  • Support Prospect Development’s administrative needs, such as entering research requests, monitoring deadlines, and communicating with development teams.
  • Assist with scheduling and meeting preparation, including sharing agendas and documents, taking notes, and tracking next steps.
  • Other duties and assistance with special projects as assigned.

Data Management (25%)

  • Perform data hygiene and record keeping tasks within databases in accordance with team standards, such as contact report data entry and auditing relationship management software.
  • Assist with maintaining Prospect Development’s wealth capacity rating system and attributes within the database.
  • Help with miscellaneous data entry projects as needed.

Professional Development (5%)

  • Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; and participating in professional organizations and conferences.
  • Participate in trainings, webinars, affinity groups, and conversations to continuously deepen understanding of diversity, equity, and inclusion.

Qualifications

  • 2+ years of experience in administrative support or in a fundraising department.
  • Experience in a non-profit setting preferred.
  • Advanced knowledge in MS Office Suite, including with Outlook (email & calendar), Word, and Excel.
  • Familiarity with CRMs or other databases preferred.
  • Strong attention to detail required to maintain data hygiene, proofread, etc.
  • Exemplary organizational skills to manage large qualities of details, tasks, and deadlines.
  • Ability to prioritize assignments and shift gears for different tasks regularly.
  • Stellar communication skills, including demonstrated experience in writing exemplary correspondence to various internal and external stakeholders and adding steps into work processes to obtain and incorporate feedback into work products.
  • Experience using discretion and diplomacy to work with sensitive, confidential information and collaborate with various stakeholders.
  • An awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds and orientations.
  • Ability to contribute to the creation of a diverse, equitable and inclusive work culture that encourages and celebrates differences.

Salaries at Earthjustice are determined by experience level and working location. The annual salary range for this role in New York, NY is $65,400 – $72,700 or $33.54 – $37.28 per hour.
