The Opportunity

Join the Trimark community as an Office Coordinator where you will work to promote an efficient and energetic office environment. The Office Coordinator supports the smooth operation of the Trimark corporate headquarters by performing administrative tasks and ensuring efficient workflow and effective communication within the office and throughout the organization

The Team

You will work closely with our small Trimark Operations Center team to support employee wellness and engagement initiatives, as well as with our senior leaders and individual contributors across the organization.

The Environment

This is an office-based role at our Folsom, CA headquarters office. You will work primarily in a climate controlled office with some minimal day travel required. Company vehicle will be provided for all required travel.

Growth & Development

This role will afford you the opportunity to work with a diverse group of bright, friendly team members and collaborate with all departments across the organization. You will build relationships across teams and learn about our extensive portfolio of products and services, providing opportunities to learn and advance with Trimark.

Your Key Contributions

  • Manage day-to-day office operations, including maintaining supplies, equipment, and overall organization of the office environment (e.g., breakrooms, communal areas).
  • Greet customers and visitors to the office, ensuring guests are comfortable and connected with the right office personnel.
  • Handle mailing, shipping, and tracking of packages and correspondence.
  • Place orders for office supplies and snacks as needed and ensure prompt restocking.
  • Assist with company travel arrangements, including flights, rental cars, and hotels for all employees, documenting details and receipts.
  • Perform a variety of administrative tasks such as data entry, filing, scanning, and document preparation.
  • Coordinate and schedule appointments, meetings, and events for internal staff and external clients.
  • Serve as the primary liaison with property management and vendors, responding to any facilities-related requests or issues.
  • Promote a safety first work culture by managing visitor logs and assist with evacuation drills, safety planning, etc.
  • Support employee and client interactions by preparing gift bags, organizing team-building events and off-site events and facilitating new hire tours.
  • Order company swag and business cards and manage office seating chart.
  • Clean and maintain the breakroom as needed, ensuring a tidy and functional environment.

Traits for Success

  • 2-3 years experience in overseeing front office operations in a professional setting, preferably within a technical, engineering or renewable energy industry.
  • Strong organizational skills, proficiency with Microsoft Office (especially Excel).
  • Excellent communication abilities.
  • Ability to effectively manage multiple tasks, coordinate events, and collaborate across departments.
  • Excellent time management skills along with flexibility.
  • Being dependable, reliable and trustworthy are traits for success in this position.
  • Valid driver’s license and clean driving record.
  • Ability to lift, push/pull, up to 50 lbs.

Pay Transparency

This announcement is open to Level II job levels. The base pay range for this position is $24.75-$28.00, with starting salary typically in the low to mid-range for the job level. This is an overtime non-exempt position. Compensation is based on market rate, job level, job related knowledge, skills, experience, education, and certifications. This is a Full Time opportunity.
