The duties that the incumbent of the vacancy will be expected to perform. Duties Description The Office Assistant 2, Grade 9, will work in the Office of Renewable Energy Siting and perform more complex clerical and office support duties that include, but are not limited to: Answering questions from and providing information to various parties regarding Agency activities, transactions, and procedures. Responding to questions concerning the operation of the unit or program area. Operating various communication systems such as telephones, computers, and internal systems. Maintaining records of such communications. Scheduling appointments and meetings using various office tools. Coordinating arrangements for meetings, courses, and other gatherings, taking attendance, and ensuring appropriate materials and equipment are available. Receiving, screening, reviewing, and verifying documents for completeness, content, and accuracy. Reviewing forms and applications and making appropriate determinations. Performing various clerical or office assistant tasks such as scanning documents, typing, proofreading, reviewing, and correcting errors of written material. Designing clerical processing procedures to help increase office efficiency. Establishing new files by coding and numbering forms, creating folders, and compiling relevant material. Maintaining files, correspondences, documents, records, and materials pursuant to guidelines. Receiving, opening, appropriately recording, sorting, and distributing mail, e-mail, and other forms of correspondence and/or communication. Responding to correspondence. Operating and performing basic maintenance on office machines and equipment.

For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State.
