Finance and Human Resources Assistant

Employment Status: Exempt, Full-Time

Location: Remote, DC preferred

Supervisor: Human Resources Director


Position Overview:

We are seeking a dedicated and detail-oriented Finance and Human Resources Assistant to join our team. This multifaceted role involves supporting both the finance and HR departments by managing accounts payable and receivable, assisting with payroll processing, aiding in recruitment and onboarding, and handling various other finance and HR-related tasks. The ideal candidate will possess strong organizational skills, a keen eye for detail, and the ability to manage multiple priorities effectively. You will report directly to the Human Resources Director.


Summary of Job:

As the Finance and Human Resources Assistant, you will play a crucial role in ensuring the smooth operation of our financial and HR functions. You will handle a variety of tasks, from processing invoices and managing payroll to assisting with recruitment and onboarding processes. This role demands a high level of accuracy, confidentiality, and the ability to juggle multiple responsibilities. Your contributions will directly support the efficiency and effectiveness of our finance and HR departments.


Key Responsibilities:


Finance Duties
:

1. Accounts Payable/Receivable:

  • Process invoices and ensure timely payment to vendors.

  • Track and reconcile accounts payable and receivable transactions.

  • Assist with the preparation of financial reports related to accounts payable/receivable.

  • Maintain accurate records of financial transactions.

2. Vendor and Contract Management

  • Upload new contracts and/or accounts into Salesforce.

  • Track spend-down on invoices and contract agreements to ensure proper closeout of terms.

3. Payroll Assistance:

  • Support the payroll process, ensuring accuracy and compliance with company policies and regulations.

  • Maintain and update employee payroll records.

  • Address payroll-related inquiries and issues from employees.

  • Assist with tax filings and compliance reporting related to payroll.

4. Expense Management:

  • Process employee expense reports and ensure compliance with company policies.

  • Track and report on departmental spending and budget adherence.

  • Review and approve employee credit card expenses in Bill Spend & Expense to ensure proper documentation and compliance with organizational policies.


Human Resources Duties:

1. Recruitment Assistance:

  • Assist with posting job vacancies and managing incoming applications.

  • Coordinate and schedule interviews with candidates.

  • Assist with initial candidate screenings.

  • Assist with reference checks and background checks on potential hires.

2. Onboarding and Offboarding:

  • Facilitate the onboarding process for new hires, including orientation, paperwork, and training coordination.

  • Manage the offboarding process for departing employees, ensuring the return of company property and completion of exit interviews.

  • Prepare and update onboarding materials and employee handbooks.

3. HR Administrative Support:

  • Assist in developing and implementing HR policies and procedures.

  • Support employee engagement initiatives and company culture activities.

  • Handle employee inquiries and provide support regarding HR policies and procedures.

4. Training and Development:

  • Assist in coordinating training sessions and development programs for employees.

  • Track and report on employee training completion and compliance.

5. Benefits Administration:

  • Assist with benefits enrollment, changes, and employee inquiries.

  • Support annual benefits renewal and open enrollment processes.


Other Duties:

  • Maintain accurate and organized records for both finance and HR departments.

  • Assist in the development and implementation of finance and HR policies and standard operating procedures.

  • Support various finance and HR projects as assigned by management.

  • Provide general administrative support to ensure the smooth operation of finance and HR functions.


Qualifications:

  • 1-2 years experience in finance, accounting, or human resources; a degree is a plus.

  • Proven experience in a similar role, with knowledge of finance and HR principles.

  • Proficiency in Microsoft Office Suite, particularly Excel.

  • Familiarity with accounting software (e.g., Intacct) is a plus.

  • Familiarity with HRIS (Human Resources Information System) is a plus.

  • Familiarity with Applicant Tracking Systems (ATS) is a plus.

  • Strong organizational and time-management skills.

  • Excellent communication and interpersonal abilities.

  • High level of discretion and confidentiality.

  • Strong attention to detail.

Employees can enroll in a 401K retirement plan that includes a generous employer match. Employees also earn 160 hours of paid vacation time, 10 days of sick leave, 10 holidays, and 5 personal leave annually.


Compensation:
The salary range for this role is $76,000-80,000. New hires are typically hired into the middle portion of the range, enabling employee growth in the range over time. Actual placement in range is based on job-related skills and experience, as evaluated throughout the interview process. Pay ranges are adjusted based on the cost of labor in each respective geographical market.
