Job Title: Executive Assistant, Regional Vestas Power Solutions

Job Description

Regional Technology. Responsible for Product and Technology for North America. Covers product value chain starting from Product Strategy and continuing through Sales, Construction Execution, Service, and End of Product Life.

Essential Functions

  • Proficiency in Microsoft Office Suite computer skills (Windows, Word, Excel, Power Point, Outlook)
  • Ability to follow instructions.
  • Ability to implement processes to efficiently conduct required administrative duties.
  • Able to complete responsibilities in a timely, professional, and quality manner.
  • Ability to interact frequently with others in a professional, courteous manner.
  • Flexibility with daily tasks and changing priorities.

Responsibilities

  • Coordinate travel arrangements for Executive Management Team, as well as other Vestas employees. This includes flight arrangements, hotel, and rental car arrangements for both domestic and international travel; work with Assistants at other Vesta’s locations to organize travel between countries for Vestas employees.
  • Organize meetings / books conference rooms / take and distribute minutes from meetings.
  • Manage Manager’s calendar and independently schedule appointments.
  • Order equipment for Executive Management Team.
  • Provide Executive Assistant support for not only the Executive Management Team, but for anyone else needing assistance (whether they are Vestas employees or guests).
  • Screen incoming calls and correspondence and respond independently when possible.
  • Arrange food for lunch / dinner meetings.
  • Create and maintain database and spreadsheet files.
  • Coordinate meeting & tours for outside Vesta’s customers and people inside Vestas.
  • Put together presentations (PowerPoint), spreadsheets, etc. for the Management team.
  • And all other duties as assigned.

Qualifications

  • Associate of Arts degree – Business or similar 5 years’ experience supporting managers / teams at an Executive Assistant level preferred.

Competencies

Education, Training, and Skills Required:

  • Associate of Arts degree – Business or similar 5 years’ experience supporting managers / teams at an Executive Assistant level preferred.
  • Intermediate to advanced skills with Microsoft Office (Excel, Word, PowerPoint, Visio, and Outlook)
  • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
