PRIMARY FUNCTION
We are looking for an experienced Executive Assistant to support our CEO. You will manage mostly business-related tasks for the CEO such as creating reports, organizing travel and accommodation, taking minutes, community outreach and other organizational tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Completing a variety of administrative tasks for CEO
  • Book travel and complete expense reports for CEO
  • Coordination of CEOs community outreach activities
  • Maintaining discretion and confidentiality in relationships with CEO and executives
  • Adhere to compliance with applicable rules and regulations
  • Coordination, planning, and assurance of CEOs schedule
  • Cultivation of community outreach plans
  • Ability to create Excel reports using Pivot tables and PowerPoint presentations
  • Arrange and coordinate meetings/events
  • Personal tasks as required
  • Compile data and conduct research
  • Perform general office duties for daily operations
  • Any other duties or projects as assigned

QUALIFICATIONS
  • High School diploma or advanced degree
  • 10+ years experience supporting CEO or other executive level management
  • Bilingual in Chinese
  • Extreme attention to detail, thoroughness, and “follow-through”
  • Proficient in MS Office (Word, Excel (Pivot Tables), PowerPoint)
  • Very strong organizational skills
  • Impeccable judgment as it relates to confidentiality
  • Ability to interact in a professional and courteous manner with a diverse population
  • Financial acumen
  • Experience and interest in internal and external communications and community partnership development
  • Independent self-starter to ensure task and projects are completed
  • Experience submitting expense reports
  • Excellent professional communication and interpersonal abilities
  • Ability to multitask and prioritize tasks effectively
  • Familiarity with proofreading techniques for accurate documentation
  • Capability to transcribe information accurately and efficiently
