Schedule: 8am-5pm PST, Mon-Fri, Flexibility for event coordination as needed
Salary Range: $45,000-$50,000/year
Reports to: Operations Manager
Start Date: ASAP
Verdani Partners is seeking an Administrative Assistant to provide support to our team by completing in-office tasks, scheduling meetings, booking travel, event coordination, and more. The ideal candidate must be flexible, resourceful, reliable, organized, detail-oriented, and able to multitask in a fast-paced environment. The candidate should have excellent organizational skills, and the ability to learn quickly and work on compressed timelines.
RESPONSIBILITIES
Manage in-office tasks (ordering office supplies, stocking snacks, greeting visitors, answering and directing phone calls, collating and distributing mail, mailing packages, etc.)
Organize and schedule meetings for team members
Coordinate travel for team members (booking flights, cars, hotels, reservations, managing budget, etc.)
Draft emails in response to business development, vendor, partner and employee inquiries
Event planning and execution (annual retreats, happy hours, employee engagement events for local and remote staff, holiday parties, etc.)
Coordinate office procedures, cleaning schedules, and general maintenance with appropriate vendors
Promote Verdanis family culture throughout the organization
Admin tasks related to our non-profit organization VIBE
Coordinate with operations team on a variety of tasks
QUALIFICATIONS & SKILLS
Required:
High School Diploma
Drivers License
Excellent verbal, written, telephone, and email communication skills
Proficient in MS Office
Exceptional organizational skills
Able to respond effectively to changing priorities, deadlines, and handle multiple tasks
Resourceful problem solver, creative and solution-oriented
Must be honest and trustworthy
Preferred:
Proven admin or assistant experience
Passion for sustainability
PLATFORMS & SOFTWARE
Preferred:
Microsoft Office 365 applications such as Outlook, Word, Excel, PowerPoint, SharePoint, or their equivalents
Collaboration platforms like Microsoft Teams, Slack or comparable tools
Project management solutions such as Monday.com, ClickUp, or similar alternatives
WORKING CONDITIONS AND PHYSICAL DEMANDS
During the execution of job responsibilities, the employee should expect the following conditions and demands associated with the role:
Remaining in a stationary position for prolonged periods of time at a desk and working on a computer
Repetitive motions involving the wrists, hands, and/or fingers
Occasional light to moderate lifting, bending, stooping, kneeling, or crouching may be necessary
Close vision requirements due to computer work
Adequate hearing for effective communication in-person and/or on the telephone
Ability to move objects weighing up to 40 pounds occasionally, 25 pounds frequently, and/or 10 pounds continuously.
The job is performed indoors in a traditional office setting where moderate noise levels may be present.
