Administrative Assistant Roles and Responsibilities:

We are seeking a highly motivated and organized Administrative Assistant to join our dynamic team in our Houston, TX office. You will play a vital role in supporting our project teams, providing efficient assistance to staff and management, and ensuring smooth communication within the office. With at least 5 years of relevant experience, you are proficient in administrative tasks and possess excellent communication and interpersonal skills.

Responsibilities:

  • Support regular office operations by providing administrative support to project teams and ensure daily office processes and procedures run smoothly. To be successful, candidate should have excellent oral and written communication skills and be able to organize work using the Microsoft suite of tools and can prioritize tasks, meet deadlines all while maintaining a professional office presence.

  • Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including email notices, office correspondence, memos, and presentations.

  • Coordinate and manage appointments, meetings, and conference room schedules.

  • Ensure offices and other spaces are reserved for staff and visitors.

  • Provide support with video conferencing equipment and set-up.

  • Coordinate global and sometimes complex, travel arrangements including flights, hotels, and transfers.

  • Organize visa and passport applications to meet relevant travel deadlines.

  • Process expense reports and invoices.

  • Provide overall administrative support to project teams and their staff.

  • Schedule appointments and maintain calendars.

  • Collaborate with other administrative staff on tasks and assignments for smooth workflow of organizational tasks and projects.

  • Communicate with audiences around the globe including executive leaders, management, peers.

  • Coordinate and support special projects as assigned.

Required Skills / Abilities:

  • Multi-tasking and time-management skills, with the ability to prioritize tasks.

  • Must demonstrate calm professional attitude and excellent interpersonal skills.

  • Minimum of 5+ years experience in an administrative support role.

  • An associate degree required or commensurate experience.

  • Exceptional written and oral communication skills.

  • Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook, and Access).

  • Comfortable handling confidential information.

  • Strong relationship management skills with peers, colleagues, and management.

  • Positive, high-energy individual.

  • Exceptional organizational skills, including the ability to prioritize workload and multi-task while maintaining attention to detail and seeing tasks and projects through completion.

  • Proactive; Flexible with unexpected and challenging changes; ability to work under pressure and to tight deadlines. Upholds the highest ethical standards.

Work Hours & Benefits: 8:00 am to 5 pm, Monday through Friday
